As our organization scales, maintaining flawless financial health, transparent record-keeping, and strict compliance becomes paramount. We believe that robust financial tracking is the foundation of strategic business decision-making. We are seeking a diligent, experienced, and highly detail-oriented Full-Time Bookkeeper to join our internal finance department. This is a core operational role designed for an individual who takes immense pride in numeric precision, efficient ledger maintenance, and the art of bookkeeping.
Position Purpose

Role Impact: You will not merely balance numbers; you will be instrumental in optimizing our cash flow, uncovering operational cost-saving avenues, mitigating compliance risks, and ensuring that company management possesses accurate financial figures to drive future business expansion.
Detailed Roles & Responsibilities
The selected candidate will carry out a broad and rigorous set of responsibilities across daily, weekly, monthly, and quarterly financial operational cadences. These duties include, but are not limited to:
1. Core General Ledger Operations

- Execute regular audits of sub-ledgers against control accounts to detect, investigate, and correct discrepancies immediately.
2. Accounts Payable (AP) Administration
- Manage the end-to-end purchasing lifecycle: match vendor invoices to approved purchase orders (POs) and receiving documents (three-way matching).
- Validate, code, and input vendor bills, scheduling timely disbursements to maximize early-payment discounts and avoid late fees.
- Reconcile monthly vendor statements and maintain strong professional relationships with all external suppliers, addressing billing inquiries promptly.
- Process, review, and verify internal employee business expense reports, confirming appropriate receipt documentation and adherence to internal spending policies.
3. Accounts Receivable (AR) & Revenue Capture

- Perform aging report analysis regularly and systematically execute respectful collections follow-ups for delinquent accounts.
- Collaborate with sales and operational departments to rectify billing errors and resolve transactional client queries.
4. Cash Management & Bank Reconciliation
- Perform daily and month-end bank reconciliations for all corporate checking, savings, line-of-credit, and merchant processing accounts.
- Reconcile credit card merchant statements, matching internal operational slips to master clearinghouse summaries.
- Identify transaction timing differences, outstanding checks, unposted deposits, or bank fees, making real-time ledger corrections.
- Track operational daily cash positioning and provide management with reliable cash availability updates.
5. Payroll Accounting & Compliance
- Partner with HR and operations to review hourly timesheets, commissions, paid time off (PTO), and salary schedules.
- Interface with our external payroll clearing partner, verifying that tax withholdings, medical benefit deductions, and 401(k) allocations match ledger entries.
- Post precise summary payroll journal entries directly into the core general ledger at the close of every pay cycle.
- Assist with year-end regulatory preparations, including gathering data for Form W-2s, 1099-NEC/1099-MISC contractor processing, and related tax filings.
6. Inventory & Asset Tracking
- Track tangible asset acquisitions and disposals, posting monthly depreciation schedules as approved by corporate tax accountants.
- Collaborate with inventory controllers to evaluate standard costs, ending inventory valuations, and adjustments for damaged, returned, or obsolete stock.
