We are seeking a detail-driven Bookkeeper / Accountant to support the daily financial operations of a fuel delivery and HVAC services organization. The company is family owned but has experienced rapid growth via M&A over the last 2-3 years, with more M&A activity expected. This role plays a critical part in managing daily cash and credit card activity, full-cycle Accounts Payable (with a need to build out compliance via Vendor management, documentation, and matching principles. Will assist with month end close journal entries, and reconciliations, but initially support evolving buildout of AP/AR workflows.
The ideal candidate is comfortable working in a high-volume, operationally driven environment, understanding how financial transactions flow from the field to the general ledger, and has strong technical and Excel skills. Experience in fuel, HVAC, construction, or other service-based businesses is a plus. Ability to adapt, be flexible, and patience is a must. Most importantly a willingness to learn and seek to continually improve things when and where you can.
Key Responsibilities
Cash & Credit Card Management (Daily Focused)
- Perform daily cash reconciliations across multiple bank accounts and locations
- Record and reconcile credit card activity, including dispatch, service, and field-related charges
- Monitor and clear cash and credit card clearing accounts
- Investigate and resolve discrepancies related to deposits, payments, and field activity
- Ensure strong daily cash controls in a fast-moving operational environment
Accounts Payable – Full Cycle
- Process vendor invoices related to fuel supply, equipment, HVAC parts, utilities, fleet/truck expenses, and services
- Match invoices to approvals, purchase orders, or operational documentation
- Prepare and process vendor payments (ACH, check, credit card)
- Maintain vendor files and assist with 1099 tracking and reporting
- Respond to vendor inquiries and resolve pricing, quantity, and billing discrepancies
Transactional Accounting & Month-End Support
- Post journal entries related to AP, cash, credit cards, and prepaid expenses
- Assist with month-end close, including reconciliations and support schedules
- Maintain clean, organized records that support audits and reviews
- Work closely with the Controller to ensure accurate financial reporting by location, department, and entity
Systems, Workflows & Process Improvement
- Work within integrated accounting and operational systems
- Use Microsoft Excel extensively for reconciliations, analysis, and reporting
- Understand and follow transactional workflows from dispatch / service completion billing cash
- Identify opportunities to improve efficiency, controls, and automation in accounting processes
Required Qualifications
- 2–5+ years of experience in bookkeeping or accounting roles
- Strong experience with cash management and accounts payable
- Solid understanding of transactional accounting in an operational business
- Proficiency in Microsoft Office, especially Excel (formulas, functions, lookups, reconciliations)
- High attention to detail with the ability to manage high transaction volumes
- Strong organizational and follow-through skills
Preferred / Nice-to-Have Qualifications
- Experience in fuel, HVAC, construction, or service-based businesses
- Experience supporting multi-location or multi-entity accounting
- Experience using Sage Intacct (strong plus)
- Familiarity with OCR, automated AP workflows, or integrated operational systems
- Associate or bachelor’s degree in accounting or finance
