    Job Description:

    The Boston Pre-K Enrollment Coordinator will play a crucial role in supporting preschool enrollment operations, ensuring that families applying for a Boston Pre-K seat in a community-based setting receive timely and accurate information about their child's application status and next steps.

    This position requires close collaboration with the Early Childhood Boston Pre-K team to support a smooth enrollment experience during a critical transition year, as responsibilities shift from the Department of Early Childhood to Welcome Services. As such, the role requires strong organizational skills, attention to detail, and the ability to communicate effectively with families, community-based organizations, and internal BPS collaborators.

    The Enrollment Coordinator will report directly to the Boston Pre-K Enrollment Manager and will be responsible for managing enrollment-related tasks, tracking student application progress, supporting families through the application process, and maintaining accurate records.

    This is a full-time, school-year position for a one-year term. The ideal candidate will have experience managing systems, supporting families from diverse backgrounds, and evaluating, managing, and collaborating within the Boston Public Schools special education process.

    Key Responsibilities:

    • Serve as a primary point of contact for families navigating the Boston Pre-K enrollment process, in collaboration with the Boston Pre-K Family Partner(s), BPS Welcome Services, and the Office of Specialized Services
    • Assist families in understanding application requirements, deadlines, and next steps.
    • Maintain and update enrollment records to ensure data accuracy and compliance.
    • Provide support to community-based organizations regarding enrollment procedures.
    • Collaborate with the Boston Pre-K Enrollment Manager to monitor and track seat availability.
    • Respond to inquiries via phone, email, and in-person meetings promptly.
    • Support outreach and communication efforts to ensure high enrollment rates.
    • Identify and troubleshoot enrollment challenges and escalate issues as needed.
    • In collaboration with Welcome Services and the Office of Specialized Services, explain enrollment options and limitations to families and guardians.
    • When deemed appropriate in collaboration with Welcome Services and the Office of Specialized Services, provide families and guardians with step-by-step instructions for requesting special education evaluations and converting out-of-district IEPs.
    • When needed, connect families and guardians directly to Coordinators of Special Education (COSE).

    Qualifications & Skills:

    Required:

    • Bachelor''s degree in a related field
    • Strong organizational and administrative skills, with attention to detail.
    • Excellent verbal and written communication skills.
    • Experience in customer service, education, or enrollment-related work.
    • Ability to interact professionally with families, community providers, and school and district personnel.
    • Proficiency in Microsoft Office Suite and Google Workspace.

    Preferred:

    • Bachelor''s degree in Early Childhood Education or Bachelor''s degree in Special Education.
    • Experience as a special education evaluator or team chairperson in Boston Public Schools.
    • Multilingual skills.
