Job Title: Business Coordinator
Department: Operations
Reports To: Operations Manager / Project Manager
Location: Onsite

Position Summary

The Business Coordinator is responsible for providing administrative, operational, and project coordination support to ensure efficient day-to-day business operations. This role serves as a liaison between internal departments, clients, vendors, and project teams, helping to coordinate business activities, maintain accurate documentation, and support project execution within the semiconductor industry.

The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities while maintaining exceptional customer service and professionalism.

Essential Duties & Responsibilities

  • Coordinate daily business operations and administrative functions across multiple departments.

  • Support project managers and leadership with scheduling, meeting coordination, reporting, and document management.

  • Prepare business correspondence, reports, presentations, and meeting minutes.

  • Maintain accurate records, project documentation, databases, and filing systems.

  • Track project deliverables, deadlines, and action items while following up with internal teams.

  • Assist with procurement activities, purchase requisitions, vendor communications, and invoice processing.

  • Coordinate travel arrangements, customer meetings, and company events as required.

  • Support budget tracking, expense reporting, and financial documentation in collaboration with Finance.

  • Ensure compliance with company policies, procedures, and documentation standards.

  • Assist with onboarding activities, training coordination, and other operational support functions.

  • Respond to internal and external inquiries in a timely and professional manner.

  • Identify opportunities to improve business processes and operational efficiency.

  • Perform additional administrative or project-related duties as assigned.

Team Responsibilities

  • Partner with Project Management, Engineering, Procurement, Finance, Logistics, Human Resources, and Operations to support business objectives.

  • Facilitate communication between departments to ensure project information is accurate and up to date.

  • Coordinate cross-functional meetings and ensure follow-up on action items.

  • Support leadership by preparing operational reports and tracking departmental goals.

  • Assist project teams with documentation, scheduling, and business process coordination.

  • Build positive working relationships with clients, vendors, subcontractors, and internal stakeholders.

  • Promote collaboration, accountability, and continuous process improvement across all departments.

  • Contribute to a professional, customer-focused, and team-oriented work environment.

Qualifications

Required

  • Associate's or bachelor's degree in business administration, Project Management, Communications, or a related field preferred, or equivalent work experience.

  • Minimum of 2 years of experience in business coordination, administrative support, project coordination, or operations.

  • Strong proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.

  • Excellent organizational, communication, and time management skills.

  • Ability to manage multiple priorities while meeting deadlines.

  • Strong attention to detail and problem-solving abilities.

Preferred

  • Experience supporting semiconductor, construction, engineering, manufacturing, or high-tech industries.

  • Knowledge of ERP systems such as SAP, Oracle, Microsoft Dynamics, or NetSuite.

  • Experience with SharePoint, Microsoft Project, Procore, Bluebeam, or similar project management platforms.

  • Familiarity with procurement, contract administration, or document control processes.

Work Environment

This position is primarily office-based with regular interaction with project teams, customers, and leadership. Occasional visits to semiconductor manufacturing facilities or construction sites may be required. The role requires flexibility to support changing business priorities in a fast-paced, deadline-driven environment.
