REPORTS TO: Director of Campus Operations

 

POSITION TYPE: 12-month

 

START DATE: 26-27 School Year

 

COMPENSATION: $19.86 to $24.69

The Role

The Elementary Operations Coordinator (OC) is a crucial member of the campus operations team who ensures that daily systems run smoothly, families experience professionalism and clarity, and campus enrollment pipelines are executed with accuracy and urgency.The OC leads the execution of campus recruitment & enrollment actions while the DCO leads strategy. The OC also supports daily operational systems, safety routines, logistics, and communication — making this role essential to building a calm, predictable school environment.This role is foundational within the OC → DCO pipeline, developing skills in systems execution, communication, accuracy, and operational professionalism.

 

The operations Coordinator’s primary responsibilities fall into two distinct domains.

 

Domain 1: Recruitment & Enrollment Execution

The OC leads executionof recruitment actions in alignment with DCO-led strategy.

 

A. Student Recruitment Execution

  • Executes the campus recruitment plan designed with the DCO.
  • Conducts outreach activities within the school’s attendance zone.
  • Supports and attends campus recruitment events, community fairs, and tabling opportunities.
  • Builds warm, professional relationships with prospective families.
  • Maintains accurate records of recruitment touchpoints and follow-up actions.
  • Collaborates with receptionist to ensure a strong “first impression” experience for prospective families.

 

B. Enrollment Pipeline Execution

  • Follows up with families for missing documentation, residency verification, and onboarding steps.
  • Ensures timely seat offers and communicates next steps to families.
  • Coordinates welcome calls, orientation sessions, and onboarding meetings.
  • Helps maintain a healthy waitlist through timely communication and updates.
  • Supports registrar in ensuring complete and accurate enrollment files.

 

C. New Family & New Student Onboarding Experience

  • Implements onboarding routines designed with the DCO.
  • Supports or leads new student meet-and-greets, tours, and welcome activities.
  • Helps facilitate new parent information sessions and communicates expectations clearly.
  • Ensures all family-facing communication related to enrollment is timely, accurate, and aligned to DCO expectations.

 

D. Attendance Execution & ADA Support

  • Conducts absence-calling routines
  • Coordinates with teachers, registrar, and DCO for accurate attendance reconciliation.
  • Ensures tardy systems are executed daily and data is logged accurately.
  • Supports Attendance Committee materials and outreach efforts.

 

 

Domain 2: Campus Operations System Support

 

A. Daily Campus Operations & Systems Execution

  • Supports arrival, dismissal, lunch, recess, and transitions through accurate documentation and communication.
  • Ensures duties are executed consistently and safely by maintaining clear signage, tags, and daily readiness.
  • Provides real-time communication support during high-volume operational periods.
  • Supports transportation change communication and ensures updates are relayed promptly to the DCO and teachers as appropriate.
  • Escalates system risks to the DCO promptly.
  • Serves as the primary backup with the DCO is off campus

 

B. Front Office Professionalism & Customer Experience

The OC:

  • Maintains a warm, professional presence in the front office when supporting coverage.
  • Ensures timely, clear, bilingual communication with families.
  • Supports receptionist in ensuring the front office remains organized, calm, and welcoming.
  • Always upholds customer service expectations.
  • OC supports front office during peak moments or absences.

 

C. Logistics, Events & Communications Support

  • Coordinates logistics for field trips, testing, campus events, and operations-driven activities.
  • Supports transportation changes, bus counts, and family notifications.
  • Maintains high levels of accuracy in student transportation tracking and tag systems.
  • Helps draft or distribute operational communications as needed.

 

D. Safety, Emergency Procedures & Readiness

  • Assists the DCO with safety drills, emergency processes, and readiness checks.
  • Maintains accurate safety materials (tags, rosters, signage).
  • Ensures high-traffic areas remain clutter-free and visitor-ready.

 

E. Facilities, Work Order Reporting & Technology Support

  • Submits and tracks facility work orders and custodial requests.
  • Supports DCO and FST partners in device distribution, returns, and audits.
  • Maintains organizational systems for supplies, storage areas, textbooks, and materials.

F. Data Accuracy & Administrative Operations

  • Reviews documentation for completeness and compliance.
  • Ensures data entry tasks are accurate and timely.
  • Supports registrar in verifying student information when needed.
