About the RoleBehind those students is an incredible team—and behind a great team are great operations. That's where you come in.We're looking for an exceptional Center Administrator who loves organization, solves problems, communicates beautifully, and takes pride in making a busy organization run exceptionally well.If you're the person people rely on because you remember the details, anticipate what's coming, and get things done, you may have just found your next role. Our Center Administrator is a critical part of the day-to-day operation of our learning center. This isn't a traditional administrative assistant position. You'll be one of the people who keeps our center running. You'll help ensure that our students and tutors are scheduled effectively, families receive timely communication, reports and meeting materials are prepared, records are maintained, supplies are available, and our center is organized and ready for students each day.Much of your work will happen behind a computer—managing schedules, email, spreadsheets, records, reports, and multiple systems—but you'll also be an important face and voice of Tutoring Club for our students, parents, and staff. You'll work closely with our leadership team and help create the operational foundation that allows our educators to focus on what they do best: helping students succeed. We have established processes, training, and systems to help you learn the role. But we're not looking for someone who simply checks boxes. We're looking for someone who takes ownership. When something isn't working, you notice. You ask why. You troubleshoot. You communicate. You look ahead instead of simply reacting to what's immediately in front of you. And when there's a better way to do something, you're willing to help us find it.For the right person, this will be super fun and the ideal opportunity, working with a stable and fun company that is making an impact in its community and helping shape future generations. TCM is a fun company because we hire fun individuals. There is unlimited potential for growth within the company; Administrators that deliver results can be placed on a Center Director track and eventually lead their own center if they desire. Keep reading to see if you are a perfect fit!
What You'll DoTo keep the TCM ecosystem humming, you'll:
- Own and maintain student and tutor scheduling, proactively adjusting schedules as cancellations, staffing changes, and student needs arise
- Help optimize schedules so they work well for both our students and our center
- Manage day-to-day email and phone communications with families and staff
- Prepare the center, schedules, materials, and administrative details for each day's tutoring sessions
- Welcome students and families and provide a warm, professional customer experience
- Prepare reports, documentation, and materials for parent and student meetings
- Support student assessments, including scoring and preparing reports and related documentation
- Maintain student records, binders, files, and other documentation
- Manage both our physical and digital administrative systems
- Track curriculum materials, practice tests, office supplies, and other inventory so we're prepared before something runs out
- Keep our center organized, stocked, professional, and ready for students
- Ensure administrative tasks, internal communications, and assigned projects are completed and followed through
- Troubleshoot day-to-day issues and know when to solve something independently—and when to escalate it
- Help identify ways to make our processes more efficient, consistent, and effective
- Work closely with our leadership team to keep information flowing and prevent things from falling through the cracks
This is a leadership position rooted in customer-service, relationship, and communication skills. The work is fun, fresh, and dynamic. Your strong focus on growth mindset and welcoming personality will help each student and tutor excel and feel great about being here. Your amazing ability to navigate the internet and Google Software Suite with ease will make you a whiz at all our online software and make you even more efficient. Your dependability, trustworthiness, and drive to grow and be better will prepare you perfectly for pay raises and promotions! We love to help our staff grow!

- Are proactive—you notice what needs attention before someone has to ask
- Love taking a lot of moving pieces and turning them into an organized system
- Have strong executive-functioning skills in both the digital and physical worlds
- Can juggle multiple competing priorities while still recognizing what's most important
- Work quickly and efficiently while maintaining strong attention to detail
- Think critically and enjoy solving problems
- Are self-sufficient but communicate early when you need information, support, or additional resources
- Stay calm, centered, and resourceful when the environment gets busy
- Have excellent follow-through and take genuine ownership of your responsibilities
- Are comfortable making decisions within your role
- Are highly comfortable with technology and learning new systems
- Are proficient with Google Workspace and particularly comfortable working in Google Sheets
- Communicate professionally, clearly, and warmly in person, over the phone, and in writing
- Are comfortable interacting with students, parents, educators, and other professionals
- Welcome constructive feedback and use it to improve
- Don't need everything to be perfect before you begin—you can move something forward, learn, refine, and make it better the next time
What we don't expect is perfection, but we do expect intelligence, enthusiasm, initiative, and great operations.
Experience That Could Be a Great FitThere isn't one perfect résumé for this position. We're more interested in whether you've demonstrated that you can successfully manage people, information, deadlines, schedules, systems, and a lot of moving pieces. Your experience might come from:
- Office or business administration
- Office management
- Scheduling or operations
- Project or program coordination
- A law firm, medical office, professional-services firm, or other detail-intensive environment
- Education or school administration
- Customer or client operations
- Military administration, operations, logistics, or another transferable military specialty
- Another fast-paced professional environment where organization, deadlines, communication, and follow-through mattered every day
We enthusiastically welcome veterans and military spouses, as well as experienced professionals returning to the workforce and graduate students with significant administrative, operations, or professional experience.
Great experience doesn't always arrive with the same job title. If your background has taught you how to organize, prioritize, communicate, troubleshoot, and execute, we want to hear from you.
