Civil Litigation Legal Secretary

Location: Remote (Preferred PST | EST candidates considered)
Schedule: Monday–Friday, 8:00 AM–5:00 PM (Flexible within business hours)
Employment Type: W2 Contract through 12/31/2026

Position Overview

Our client, a leading property and casualty insurance organization, is seeking an experienced Civil Litigation Legal Secretary to support two attorneys handling California civil litigation matters. This is a fully remote position supporting attorneys focused on Property & Casualty insurance defense litigation.

The ideal candidate has a strong background in California civil litigation, excels in a fast-paced paperless environment, and is highly organized with exceptional attention to detail.

Responsibilities

  • Provide legal administrative support to two Civil Litigation attorneys.
  • Draft, edit, and prepare legal correspondence, pleadings, and other legal documents.
  • Coordinate depositions, mediations, attorney meetings, and client calls.
  • Retain and coordinate expert witnesses.
  • Prepare and transmit legal documents.
  • Process subpoenas through third-party vendors.
  • Enter order forms and maintain case records.
  • Electronically file (e-file) and electronically serve (e-serve) legal documents with California courts.
  • Manage attorney calendars and litigation deadlines using a legal matter management system.
  • Submit invoices for payment and assist with file closing procedures.
  • Organize and maintain electronic case files in a paperless environment.

Required Qualifications

  • Minimum 3 years of Legal Secretary experience supporting civil litigation.
  • California civil litigation experience is required.
  • Experience with California court e-filing and e-service is required.
  • Insurance defense experience is preferred; plaintiff-side civil litigation experience will also be considered.
  • Family law and criminal law experience alone will not qualify.
  • Strong knowledge of legal terminology, court procedures, and legal document preparation.
  • Experience working in a paperless legal environment.
  • Proficiency with:
    • Microsoft Outlook
    • Microsoft Office Suite
    • Adobe Acrobat/PDF editing
    • Legal case management software
  • Excellent organizational, communication, and multitasking skills.
  • Ability to manage confidential information with professionalism.

Preferred Qualifications

  • Experience with iManage document management software.
  • Experience with TeamConnect or other legal matter management systems.
  • Property & Casualty insurance litigation experience.

Note: A Bachelor's degree and Notary Public license are not required. Relevant experience is prioritized over education.

Training & Onboarding

  • Comprehensive training provided by experienced Legal Secretaries.
  • Shadowing and hands-on learning with internal software and workflows.
  • Typical ramp-up time is a few weeks for experienced candidates.

Work Environment

  • 100% Remote position.
  • No office attendance required.
  • No travel required.
  • No overtime anticipated.
  • Collaborative legal team supporting two attorneys, alongside another Legal Secretary, a Paralegal, and a File Administrator.
