Role Overview

 

• As an AR/AP Clerk, you will play a key role in supporting the accounting department by managing accounts payable, accounts receivable, transaction processing, and related administrative tasks. Success in this role comes from being thorough, accurate, and trustworthy, with strong bookkeeping skills and a keen eye for detail. You will apply your knowledge of basic accounting principles while using tools like MS Excel and QuickBooks to ensure financial records are accurate and up to date. This position is ideal for someone who is efficient, organized, and collaborative, ready to contribute to a high-performing team while growing their accounting expertise.

 

 

 

What You Bring

 

• You have 2+ years of accounting or bookkeeping experience.

• You are detail-oriented, organized, and committed to maintaining accuracy in all financial records.

• You bring proficiency with computers and bookkeeping software, along with strong typing skills.

• You have a high school diploma or GED; an associate degree in a related field with work experience is a plus.

• You are able to manage your time effectively, multitask, and maintain a motivated, positive attitude.

• You bring exceptional verbal and written communication skills and a professional, ethical approach to your work.

• You have familiarity with Microsoft Office suite and can use it efficiently to support accounting tasks.

• You are committed to working efficiently, accurately, and collaboratively within a team environment.

 

 

 

Key Responsibilities

 

• Manage daily office tasks, including filing, data entry, answering phones, and processing mail.

• Handle communications with clients and vendors via phone, email, internal systems, and in-person.

• Process transactions and invoices, ensuring accuracy and auditing statements as needed.

• Track payments and expenditures, including purchase orders, invoices, statements, packing slips, and credit card charges.

• Reconcile accounts by verifying entries and comparing system reports to balances.

• Maintain historical financial records for accuracy and compliance.

• Pay vendors by scheduling checks, confirming invoice accuracy, and responding to inquiries in a timely manner.

• Prepare analyses and monthly reports to support accounting oversight and decision-making.

• Review invoices to ensure proper revenue and cost allocation.

• Process and post incoming invoices and payments, reconcile statements daily and weekly, and forward items to managers for approval as needed.

• Respond to vendor and coworker inquiries, resolving discrepancies and addressing unpaid balances.

• Issue purchase orders as required for materials and services.

• Contact customers and employees regarding missing payments or unresolved balances.

• Process funds received daily for deposit, ensuring accuracy.

• Manage service agreements by processing new or renewed agreements and updating the ServiceTitan database.

• Perform payroll functions as directed by the Controller.

• Provide support to the accounting department and other teams, contributing wherever assistance is needed to ensure smooth operations.
