    Join our Marketing Team as a Client Administration Project Coordinator located in our Atlanta office.

    This role is in-office and will be based in our Atlanta Office and reports to the Director of Pricing and Matter Management.

    Position Summary:

    The Client Administration Project Coordinator will work closely with the Director of Client Management to facilitate administrative, operational, financial, and client service aspects of key client relationships across multiple areas of substantive engagement. This position will maintain and manage internal processes to ensure client reporting, financial information, team training and coordination are delivered to client team members and work area leaders promptly and with accuracy.

    Key Responsibilities:

    • Maintain and communicate onboarding, integration, and training materials on client service and internal processes and protocols
    • Maintain matter level organization by receiving new matter requests from attorneys, gathering pertinent matter-level detail, determining proper client number, and linking with corresponding matter in client’s matter tracking system
    • Review bi-weekly reporting from client, maintain and update internal matter details, identify GT matters missing in client data, and coordinate with attorneys to request that the client open new matters
    • Maintain client number organization by determining when new client numbers are needed for portfolio organization and reporting, transferring existing matters to new client numbers, setting up client level details such as linking to parent clients, timekeeper restrictions, rate sets, disbursements sets, and working with Pricing to adjust budget and reporting as needed
    • Prepare and circulate team updates based on client trainings, panels, annual and quarterly reporting, and other client updates
    • Maintain Microsoft Team site membership and up-to-date training materials, client updates, and other materials
    • Review periodic reporting and identify matters and work areas where GT and client value estimates are misaligned and work with Director of client Management to work toward value alignment
    • Monitor bi-weekly reporting from client to confirm value adjustments and alignments and communicate to relevant attorneys and Director of Client Management
    • Review disbursement reporting and identify areas for review
    • Track and monitor client value add services such as secondment support months provided,

    Qualifications

    Skills & Competencies:

    • High attention to detail, outstanding organizational skills, and the ability to manage time effectively
    • Highly responsive and provide outstanding client service, meet high quality standards for services, and meet or exceed expectations
    • Ability to work under pressure to meet strict deadlines and effectively prioritize multiple tasks
    • Ability to review and analyze reports and data for accuracy and alignment
    • Strong problem-solving skills, uses good judgment, and excellent follow-up skills
    • Proactively identify issues in client reporting and implement solutions
    • Excellent interpersonal and communication skills (oral and written), professional demeanor and presentation
    • Understanding of basic budgeting structures and data such as annual fixed fee budgets and quarterly matter dollar value estimates
    • Meticulous in managing data, reports, and client information
    • Self-starter who can work independently with minimal supervision
    • Recognize confidential, sensitive, and proprietary information and maintain its confidentiality
    • Establish and maintain effective working relationships with all levels of the organization, across offices and countries, and collaborate well in a team
    • Proactive in seeking innovative ways in which to help others
    • Full time schedule with flexibility for overtime and/or availability outside regular business hours

    Education & Prior Experience:

    • Bachelor’s degree or equivalent experience is preferred
    • Minimum 3 years of experience in project management and client support; experience at a law firm or other high-pace professional services firm is preferred

    Technology 

    • Computer proficiency in Windows-based software and Microsoft Office Suite applications including Word, PowerPoint, Excel and Outlook
    • Exceptional computer skills with the ability to learn new software applications quickly
