Position Summary
The Client Service Representative performs duties related to our services and operations, including greeting and checking in visitors, answering phones, supporting our teams, and establishing and assisting in operational processes. The ability to work in a fast-paced environment and complete multiple different tasks, and switch gears, when necessary. This position has duties that have a regular deadline. The person in this position is responsible for facilitation and coordination of communication between clients, visitors, our multiple service teams, and other staff, while maintaining a warm and welcoming presence at the front desk of our primary office location.

Essential Job Functions
Facilitation, coordination, tracking, processing, and general office assistance (100%)
  • Answer phones and direct the callers to another service team/staff or directly and appropriately addressing the caller's needs 
  • Warmly greet and welcome clients and visitors upon arrival, sign them in
  • Obtain information from clients, including changes in insurance information, photo identification, and other necessary data
  • Coordinate with clients and other parties to gather admission paperwork and required forms, as well as provide policies, service information, and legally required documents as needed
  • Upload and enter documentation into our Electronic Health System and Client Database
  • Promote, support, and maintain a tidy and organized office and front desk area
  • Assist with scheduling appointments with clients
  • Reach out to clients with reminders of upcoming appointments and events, as well as to coordinate completion of required and/or missing paperwork
  • Assist management with special projects
  • Assist with office mail and fax tracking and distribution
  • Collaborate with teams and staff to ensure smooth operations and excellent service delivery

Work Environment and Equipment
Work is performed primarily in an office setting. Regular use of standard office equipment is required, including a computer, telephone, copier, and printer. This position may also require use of agency vehicles, a personal vehicle, hand tools, janitorial equipment, internal databases, and Microsoft Office applications.

Qualifications
Education and Experience
Required
  1. Proven experience in a front desk or receptionist role.
  2. Strong organizational skills with the ability to prioritize tasks effectively.
  3. Proficiency in phone systems and computer software, with a high level of computer literacy.
  4. Excellent time management skills to handle varied responsibilities efficiently.
  5. Strong communication skills, both verbal and written, with attention to detail.
  6. Ability to maintain a professional demeanor and be a positive forward-facing representative of Tasks.
  7. General understanding of mental illness or experience interacting with unhoused.
  8. Maintain confidentiality of sensitive information in compliance with company policies.
Preferred
  1. Experience working with diverse populations in a clinical or social services setting.
  2. Experience handling billing and insurance processes is a big plus.
