Position Summary
The Practice Manager is responsible for the daily operational, administrative, and personnel management of the practice. This position ensures efficient patient flow, effective staff performance, provider support, revenue cycle accountability, regulatory compliance, and a professional patient experience.
Practice Operations
· Oversee daily clinic operations, staffing, scheduling, patient flow, and facility needs.
· Ensure providers have the staff, supplies, equipment, and scheduling support necessary to maintain productive clinic and procedure schedules.
· Identify operational issues and implement process improvements.
· Coordinate activities with physicians, advanced practice providers, clinical staff, billing teams, vendors, and outside facilities.
· Escalate significant operational, personnel, or compliance concerns to leadership.
Staff Management
· Recruit, onboard, train, supervise, and evaluate clinic employees.
· Monitor attendance, timekeeping, overtime, leave requests, and staffing coverage.
· Establish performance expectations and address employee concerns or disciplinary matters in coordination with Human Resources.
· Conduct staff meetings and communicate policies, priorities, and operational updates.
· Promote professionalism, teamwork, accountability, and patient-centered service.
Scheduling and Patient Access
· Oversee appointment scheduling, referral intake, registration, insurance verification, and prior authorizations.
· Monitor new-patient access, referral conversion, cancellations, no-shows, and scheduling capacity.
· Ensure referrals, medical records, imaging, laboratory results, and authorizations are complete before appointments and procedures.
· Maintain efficient scheduling protocols for clinic visits, procedures, and follow-up care.
Revenue Cycle and Financial Oversight
· Monitor registration accuracy, insurance verification, copay collection, documentation completion, charge readiness, and billing holds.
· Work with billing teams to address claim delays, denials, missing documentation, and recurring revenue cycle issues.
· Review point-of-service collections, staffing costs, overtime, purchasing, vendor invoices, and operating expenses.
· Identify opportunities to improve collections, reduce waste, and strengthen practice performance.
Pain Management Operations
· Coordinate workflows for pain management visits, injections, and interventional procedures.
· Support compliance with controlled-substance policies, urine drug testing protocols, prescription monitoring requirements, and patient agreements.
· Ensure required pre-procedure documentation, authorizations, instructions, and clinical information are completed.
· Coordinate with ambulatory surgery centers, hospitals, imaging facilities, laboratories, pharmacies, and referring providers.
· Monitor procedure utilization, cancellations, and authorization delays.
Compliance and Patient Experience
· Ensure compliance with HIPAA, OSHA, Medicare, Medicaid, payer requirements, and organizational policies.
· Maintain required licenses, logs, records, postings, and inspection documentation.
· Support audits, incident reporting, quality improvement, and corrective-action plans.
· Address patient complaints and service concerns promptly and professionally.
· Monitor wait times, communication responsiveness, and overall patient satisfaction.
Inventory and Vendor Management
· Maintain appropriate levels of medical, procedure, and office supplies.
· Monitor purchasing, expired products, equipment maintenance, and vendor performance.
· Ensure purchases comply with approved budgets and authorization requirements.

Qualifications
· Associate or bachelor’s degree in healthcare administration, business, or a related field preferred.
· At least three years of medical practice management or healthcare supervisory experience.
· Experience in a physician practice, specialty clinic, ambulatory surgery center, or procedure-based setting.
· Working knowledge of scheduling, prior authorizations, billing, collections, revenue cycle operations, and healthcare compliance.
· Proficiency with electronic health record systems, practice management software, Microsoft Office, and operational reports.
· Pain management, orthopedics, neurology, spine, surgery, or procedural specialty experience preferred.
