Clinical Research Associate/Coordinator II

POSITION SUMMARY

The Stubbs Lab at The Buck Institute is seeking an organized, detail-oriented, articulate, and motivated Clinical Research Associate/Coordinator II to join our clinical research team. This position supports the day-to-day logistics and communications required to successfully conduct clinical studies, performs elements of study visits at the Buck and community locations, and assists with processing biospecimens and study data.

Candidates should have 2-5 years of experience in clinical research or a similar role and be comfortable managing assigned study activities with limited supervision.

The successful candidate will join a team led by Co-Directors Dr. Newman, MD, PhD, a practicing geriatrician, and Dr. Brianna Stubbs, PhD, who has more than 10 years of clinical research experience. The broader team includes experienced Clinical Project Managers, Clinical Scientists, Study Nurses with more than 30 years of clinical practice experience, and other clinical research staff.

Our clinical team is small and highly collaborative. Candidates should expect hands-on experience across the full lifecycle of clinical study execution. We work together to ensure study activities are completed accurately and on time.

The CRA II is expected to work with greater independence than the CRA I, manage assigned study activities with limited supervision, troubleshoot routine problems, proactively identify process improvements, provide guidance and training to junior research staff, and appropriately escalate issues when needed.

KEY RESPONSIBILITIES

• Maintain participant tracking and scheduling records; conduct telephone prescreening; coordinate study visits and manage participant communications.
• Prepare and maintain source documents, study logs, questionnaires, and study supplies in accordance with study protocols and procedures.
• Conduct protocol-specified study procedures independently when trained and within scope, with an appropriate level of supervision, and provide clear explanations of study activities to participants.
• Build strong rapport with study participants to support engagement, retention, and a positive research experience.
• Support protocol compliance through thorough review and documentation at each participant study visit.
• Extract and digitize data from written case report forms while carefully preserving data integrity.
• Process, label, track, store, and ship biospecimens according to study procedures and laboratory requirements.
• Support maintenance of regulatory documentation and study files and assist with protocol deviations, adverse-event documentation, and other study documentation as appropriate to the role.
• Participate in data analysis, interpretation, write-up, and dissemination.
• Recognize and promptly escalate participant safety concerns or protocol-related issues to the appropriate study team member.
• Independently troubleshoot routine operational or study-visit issues, escalate concerns promptly, and proactively identify potential problems or process improvements.
• Provide training, guidance, and support to CRA I staff as appropriate.
• Assist with the preparation and review of study SOPs and study-specific procedures.
• Communicate regularly with the Principal Investigator about study-related issues.
• Maintain confidentiality of all participant-related records and written and verbal communications.

QUALIFICATIONS

Education & Experience

• BA/BS or equivalent experience in a biological, health, behavioral, or related field.
• 2-5 years of experience in clinical research, clinical trial conduct/operations, healthcare research, or a similar role.
• Demonstrated experience coordinating clinical study activities and resolving routine operational issues with limited supervision.
• Strong interest in the science of healthy aging and translating basic science research into clinical interventions.

Skills

• Professional demeanor and strong interpersonal and communication skills when working with the public, providers, and colleagues.

• Ability to provide light supervision, guidance, and training to junior research staff.

Desired skills but not required

• Proficient with email, calendar scheduling, Microsoft Excel, Google Drive, along with the ability to quickly learn platforms such as the Fitbit app, ASA24 diet log, and REDCap.
• Wet lab experience with basic analytical techniques and assays.
• Phlebotomy experience, or willingness to learn.

COMPENSATION, SCHEDULE & WORK LOCATION

• Starting pay: $30-$38.50/hour, commensurate with experience, plus benefits
• Schedules vary based on study needs and may include morning (7:30 am - 4:00 pm), daytime (9:00 am - 5:30 pm), and evening (1:30 - 10:00 pm) shifts.
• Fully in-person position, with some clinical visits at community locations up to approx. 1 hour from campus.
