Title: Commercial Roofing Project Coordinator
Ultimate Staffing is partnering with a growing commercial roofing contractor to identify an organized, detail-oriented Commercial Roofing Project Coordinator. This role serves as a key link between estimating, project management, field operations, vendors, subcontractors, and clients to ensure projects move efficiently from pre-construction through closeout. The ideal candidate is highly organized, proactive, and comfortable managing multiple priorities in a fast-paced construction environment.
Position Summary
The Commercial Roofing Project Coordinator is responsible for supporting estimating and project management by coordinating the administrative and operational aspects of commercial roofing projects. This role focuses on project documentation, scheduling, vendor coordination, permitting, reporting, and communication while also providing limited office administrative support to ensure smooth daily operations.

Essential Duties & Responsibilities
Project Coordination & Construction Administration
  • Coordinate commercial roofing projects from estimating and pre-construction handoff through project completion.
  • Manage project documentation including submittals, purchase orders, change orders, safety files, daily logs, job folders, and closeout packages.
  • Review and organize project drawings, specifications, contracts, and related documentation to support compliance and execution.
  • Coordinate material procurement, deliveries, and logistics with vendors and suppliers.
  • Obtain quotes, track orders, and resolve material or delivery issues.
  • Schedule and coordinate subcontractors, inspections, permit processes, and project-related activities.
  • Monitor project schedules and assist with progress tracking, reporting, and timeline updates.
  • Support project managers by identifying and communicating potential delays, risks, or logistical challenges.
  • Facilitate communication between office staff, field teams, clients, vendors, and subcontractors.
  • Coordinate project kickoffs, pre-construction meetings, progress meetings, and administrative follow-up.
  • Maintain permitting records, tax-exempt certificates, inspection documentation, and regulatory compliance files.
  • Conduct or coordinate occasional jobsite visits to verify conditions, assist with logistics, and support project administration.
  • Assist estimators with bid preparation, proposal documentation, and project setup activities.
  • Support adherence to company safety, quality, and production standards.
Administrative & Office Support
  • Answer incoming phone calls and emails and direct inquiries to appropriate personnel.
  • Greet visitors and provide professional customer service.
  • Schedule meetings and assist with calendar coordination.
  • Prepare, update, and distribute project and operational reports.
  • Maintain organized electronic and physical filing systems.
  • Assist with employee timesheet entry and approval processes.
  • Support invoice processing, billing documentation, and collections activities as needed.
  • Assist with onboarding paperwork and administrative support for new employees.
  • Provide bilingual translation support during meetings, orientations, or safety training when applicable.
  • Monitor office supply inventory and coordinate replenishment as needed.

Minimum Qualifications
  • Proficiency in Microsoft Office Suite, particularly Excel.
  • Experience using project management software, databases, and office systems.
  • Ability to read and interpret construction plans, specifications, and technical documents.
  • Strong mathematical aptitude and data tracking skills.
  • Excellent verbal and written communication skills.
