Role Overview: TheCommunications Specialist role will support the management and development of SharePoint sites within the client environment. In addition, this role will support drafting unique content as a member of the broader Communications team, there the ability to manage multiple tasks at once is a plus.
The Communications Specialist role requires strong SharePoint experience with an ability to blenduser experience design principles and content strategy to create intuitive, engaging, and user-centered digital workspaces.
Essential Duties and Responsibilities: - Work closely with cross-functional teams in amulti-stakeholder, enterprise or federal environment.
- Strong writing and editing skills, with experience:
- Editing content authored by multiple stakeholders into a consistent tone and voice
- Producing clear, concise, audienceappropriate communications
- Ability to apply and maintain style guides, templates, branding standards, and naming conventions.
- UI/UX Design & User Experience Optimization
- Design and optimize SharePoint pages to deliver intuitive, user-centered experiences.
- Improveinformation architecture, navigation structures, and content hierarchy across SharePoint sites.
- Guide stakeholders on UX best practices and SharePoint design standards.
- Translate business requirements into effective digital experiences.
- Apply UX best practices to enhance usability, accessibility, and user engagement.
- Analyze user behavior (e.g., page usage, feedback) and recommend improvements to layout and structure.
- Ensure consistency in design patterns, layout standards, and interaction models.
- Stay current with Microsoft 365 and SharePoint design capabilities and UX trends.
- SharePoint Design & Page Development
- Create and maintain SharePoint pages using:
- Modern page layouts and web parts
- Navigation elements and site structure
- Visual organization and content placement
- Optimize page performance and responsiveness across devices.
- Support modernization of legacy or poorly structured SharePoint content into streamlined, user-friendly experiences.
- Content Strategy & Experience Design
- Collaborate with stakeholders to transform complex information intoclear, user-friendly content.
- Structure content to support scanning, readability, and task completion.
- Develop and maintain templates, page standards, and content models that improve user experience.
- Ensure content aligns with branding, tone, and organizational standards.
- Governance, Quality & Accessibility
- Ensure compliance with governance frameworks, approval processes, and publishing standards.
- Perform quality assurance to validate usability, accessibility, and content accuracy.
- Apply accessibility best practices (e.g., WCAG considerations) in page design and content formatting.
Education and Work Experience: - Bachelor's degree in Communications ora relatedfield.
- 5+ years of relevant experience working within a Communications team or a PMO environment
- 3years of experience supporting federal contracts, preferably within CIOO,ePMO, or enterprise portfolio environments.
- Comfort collaborating in shared document and content environments.
- Background in intranet design, knowledge management, or digital workplace solutions.
- Experience producing accessible digital content, including:
- Proper use of headings, links, and alt text
- Awareness of accessibility best practices for web and document publishing
- Ability to follow organizational or federal accessibility guidelines when publishing content.
Skills and Competencies: - Proven ability to work with project managers, technical staff, leadership, and clients to gather inputs and clarify requirements
- Ability tomanage multiple priorities and deadlines, and respond to ad hoc and timesensitive requests
- Ability to use basic analytics or feedback to improve content effectiveness and usability (e.g., page views, user feedback).
- Ability to communicate complex technical and agile concepts to nontechnical stakeholders
- Comfort creating simple visuals or layouts (e.g., PowerPoint onepagers, light graphics) to support written communications.
- Experience supporting digital communications or UX-focused initiatives inlarge, complex environments(enterprise or federal).
- Hands-on experience designing and maintaining SharePoint Online pages and site structures.
