The Compliance Specialist is a key member of the Helpside team, working closely with internal departments and clients to ensure Helpside maintains compliance across all states of operation. This role supports federal and state regulatory requirements through day‑to‑day compliance administration, insurance coordination, contract management, report generation, and quality control processes that protect the performance and integrity of Helpside’s PEO operations.
Essential Job Functions
- Manage and assist in maintaining Helpside’s compliance with applicable federal, state, and regulatory requirements
- Oversee and support the full workers’ compensation process, including rate verification, invoice payments, and accurate client billing
- Assist with contract administration, including preparation, tracking, updates, and renewals of client and vendor agreements
- Manage electronic document workflows using DocuSign, ensuring contracts and compliance documents are properly executed, stored, and retrievable
- Develop, maintain, and distribute compliance and operational reports for internal teams, leadership, and external agencies
- Identify, investigate, document, and escalate compliance issues, irregularities, and potential risks
- Maintain accurate and well‑organized records of compliance activities, contracts, filings, and reports
- Generate routine and ad‑hoc reports to support audits, regulatory requests, and business decision‑making
- Manage and assist with the unemployment claims process
- Coordinate with the tax team to ensure client tax filings are accurate and submitted on time
- Prepare, review, and submit required state reports, filings, and registrations
Required & Preferred Education and Experience
- Bachelor’s degree in business, finance, human resources, or a related field
- Preferred 2 years of experience in a compliance, operations, HR, payroll, or similar role
- Experience supporting contracts, compliance documentation, or electronic signature platforms (e.g., DocuSign) preferred
- General understanding of regulatory requirements and compliance processes (formal legal background not required)
- Proficiency in Microsoft Office, with strong Excel skills for data analysis, reporting, and reconciliation
- Strong analytical, organizational, communication, and problem‑solving skills
- High attention to detail with the ability to manage multiple priorities accurately
