Be the person who keeps a major energy project on track
Large construction projects run on paperwork. Every inspection, contractor test, and handover milestone has to be documented, tracked, and ready when it’s needed. Our client, a leading company in the energy industry, is looking for an organized, detail-driven administrative assistant to own that process onsite at a major project in Utah.
You’ll work from the project’s construction trailer, right in the middle of the action, and become the go-to person for keeping inspection reports, test records, and completion documentation accurate and complete. If you love bringing order to a busy environment and want hands-on experience on a high-profile energy project, this is your role.
What You’ll Do
- Own project documentation: collect, organize, and track inspection reports, contractor test reports, and mechanical completion and handover records.
- Keep records airtight: maintain filing and records systems (including Procore or similar platforms) so documents are complete, accurate, and easy to retrieve.
- Support the project team: prepare reports, memos, letters, and other documents, and handle incoming correspondence and routine requests.
- Keep the office running: order supplies, handle basic bookkeeping and invoice support, and manage day-to-day office needs.
- Get out on site occasionally: visit the project site as needed to follow up on documentation.
Must-Haves
Please apply only if you meet all of the following:
- 2 to 4+ years of administrative or office support experience in a construction, engineering, industrial, or project-based environment
- Experience collecting and maintaining inspection reports, test reports, completion records, or similar technical documentation
- Experience with Procore or another construction document control system
- Strong organization, communication, and time management skills, with the ability to work independently and keep information confidential
- Proficiency in Microsoft Word, Excel, and PowerPoint
- Willingness to work onsite in Eagle Mountain, Utah, about 50 hours per week, with occasional Saturday coverage
- Availability for a one-year contract
- High school diploma or GED
Nice to Have
- Mechanical completion or turnover/handover documentation experience
- Prior work on energy, oil and gas, or large industrial projects
- A track record of completing project assignments through to the end
Why You’ll Like This Role
- Work close to home: If you live in Eagle Mountain, Saratoga Springs, Lehi, Herriman, Riverton, Bluffdale, or nearby, this onsite role keeps your commute short, which makes those 10-hour days a lot easier.
- A full year of steady work with consistent, full hours
- Real ownership of critical project documentation
- Experience on a major energy project, a strong addition to any construction admin resume
- Possibility of extension or conversion
- Site PPE provided (you’ll just need your own steel-toe boots)
