Construction Assistant Project Manager (Fort Lauderdale, FL)

Position Summary

The Assistant Project Manager (APM) supports the Project Manager in successfully delivering commercial construction projects from preconstruction through closeout. This role serves as a key member of the project management team by coordinating project documentation, subcontractors, consultants, schedules, procurement, financial reporting, and communication between the field and office.

The APM is expected to take ownership of assigned project responsibilities while developing the skills necessary to independently manage projects within 1-2 years maximum.

YOU WOULD BE RESPONSIBLE FOR

Project Administration

  • Assist with project startup, buyout, and mobilization.
  • Maintain complete project documentation in Procore or company project management software.
  • Manage and track Requests for Information (RFIs).
  • Process and distribute Submittals and Shop Drawings.
  • Maintain ASI, Bulletin, CCD, and Change Order logs.
  • Track permit status and inspections.
  • Maintain meeting minutes and action item logs.
  • Coordinate document distribution to project teams.
  • Assist with project closeout documentation including warranties, O&M manuals, punch lists, and as-built drawings.

Project Coordination

  • Support the Project Manager in coordinating architects, engineers, owners, consultants, and subcontractors.
  • Assist with procurement of subcontractors and material suppliers.
  • Coordinate long-lead material tracking.
  • Monitor subcontractor commitments and delivery schedules.
  • Coordinate utility companies, municipalities, inspectors, and third-party testing agencies.
  • Assist in resolving field issues through communication with the Superintendent and Project Manager.
  • Participate in Owner, Architect, Contractor (OAC) meetings.

Financial Management

  • Assist in preparing subcontract agreements.
  • Process subcontractor pay applications.
  • Review invoices for accuracy.
  • Assist with budget tracking and cost reporting.
  • Prepare and track change events and change orders.
  • Assist with monthly project forecasting.
  • Monitor project commitments versus budget.
  • Track pending costs and potential exposure.

Scheduling

  • Assist in maintaining the master project schedule.
  • Track procurement milestones.
  • Monitor subcontractor schedule performance.
  • Identify potential schedule impacts and communicate concerns to the Project Manager.
  • Coordinate inspections required to maintain project progress.

Quality Control

  • Assist in monitoring work for compliance with plans, specifications, building codes, and company quality standards.
  • Coordinate third-party inspections and testing.
  • Maintain quality control documentation.
  • Assist with punch list creation and completion.
  • Verify completion of corrective work.

Safety

  • Support the Superintendent in promoting a safe jobsite.
  • Verify subcontractor compliance with OSHA requirements and company safety policies.
  • Report unsafe conditions immediately.
  • Participate in project safety meetings.
  • Assist with documentation of incidents and corrective actions.

Client & Team Communication

  • Build positive working relationships with owners, architects, engineers, consultants, subcontractors, and vendors.
  • Provide timely communication regarding project status.
  • Respond professionally to project inquiries.
  • Support the Project Manager in delivering exceptional customer service throughout the project.

Qualifications

  • Bachelor's degree in Construction Management, Engineering, Architecture, or related field preferred.
  • Minimum 2–5 years of commercial construction experience.
  • Experience supporting projects from preconstruction through closeout.
  • Ability to read and interpret architectural, structural, civil, and MEP drawings.
  • Understanding of construction contracts and project documentation.
  • Knowledge of construction means and methods.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Strong problem-solving and analytical skills.
  • Ability to work in a fast-paced environment with multiple priorities.
