Position Summary:
The Facilities Coordinator is responsible for facilities and office support functions including mail, office supplies, shipping/receiving and facilities. Other responsibilities include office services and coordinating arrangements for office meetings.
Essential Job Functions[1]:
- Manage the mail and fulfillment area to ensure effective internal and external receipt and deliveries to maintain ProFund Advisors? professional image. Sort incoming mail for distribution and dispatch outgoing mail.
- Order all office/kitchen supplies and stock appropriate areas daily or as needed.
- Coordinate maintenance and alteration of office needs through building cleaning services. Assist with building management and outside vendors as required.
- Coordinate meeting set-ups including catering services.
- Supervise the maintenance of office equipment, such as copiers and fax machines.
- Responsible for day-to-day facilities operations such as recycling, document shredding services, and off-site records storage.
- Serve as back-up for receptionist.
- Proactively seek work across the floor, identifying and frequenting the hot spots where people often need additional support.
- Reconcile invoice billings from outside vendors (AMEX, Fed Ex, UPS, etc...).
- Perform other duties and responsibilities as required.
