8am to 4pm EST - 1 day remote, 4 days in office
Contract: Through the end of September to cover someone on leave.

The main function of an administrative assistant/executive assistant is to provide high-level administrative support by conducting research, handling information requests and performing clerical functions. A typical administrative assistant acts as information and communication managers for an office.
Job Responsibilities:
" Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.
" Prepare invoices, reports, memos, letters, financial statements, and other documents.
" File and retrieve corporate documents, records, and reports.
" Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
" Prepare agendas and make arrangements for committee, board and other meetings.
Skills:
" Verbal and written communication skills, multi-tasking, customer service skills and interpersonal skills.
" Ability to work independently and manage one s time.
" Ability to keep information organized and confidential.
" Basic mentoring skills necessary to provide support and constructive performance feedback.
" Previous experience with computer applications, such as Client Word, Excel and PowerPoint.
Top 3 must-have hard skills:- Detail Orientation: The manager's calendar is mission-critical travel, contacts, and meeting details must be accurate and current at all times. A candidate who misses details will struggle in this role.
- Professionalism and Interpersonal Skills: This person is the face of the office and a primary point of contact for internal teams and external partners, including international stakeholders. They must be polished, personable, and able to represent the team well at all levels.
- Organizational Skills: Managing calendars across time zones, coordinating travel, processing expenses for 10 team members, and supporting meeting logistics simultaneously requires someone who is exceptionally organized and able to prioritize without being told.
Education/Experience:- 5 7 years of administrative or executive assistant experience required; experience supporting senior leaders or executives strongly preferred
- High school diploma or GED required
- Seasoned professional who understands office dynamics and can navigate a fast-paced, high-visibility environment with discretion and composure
- Strong calendar management skills, including experience coordinating across multiple time zones and international stakeholders
- Experience with Concur for travel booking and expense reporting
- Familiarity with purchase order processing in an ERP system is a plus
- Proficiency with Client 365 applications, particularly Outlook, Word, Excel, and PowerPoint
- Excellent written and verbal communication skills
- Highly detail-oriented with strong organizational skills and the ability to manage competing priorities independently
- Comfortable serving as the face of the office personable, professional, and approachable across all levels of the organization
- Ability to handle confidential information with discretion
