Department/Location: Dental Clinic – 333 S. Madison St.
Reports To: Practice Manager
Classification: Non-Exempt | Full Time

Requires: High school diploma or GED equivalency required.

Schedule: Monday – Friday, 8a to 5p

Open Door Health Services is seeking a full-time Scheduler for our Dental Clinic.

Overview

As a Dental Scheduler, you will uphold Open Door Health Services’ Mission, Vision, and Values by providing exceptional patient service and supporting efficient daily operations within the Dental Department. The primary responsibilities of this position are answering incoming calls through the dental phone queue, scheduling and confirming patient appointments, and maintaining accurate and efficient schedules for dentists and dental hygienists. Additional front desk duties will be performed during periods of lower call volume to support patient access and overall departmental operations.

Roles & Responsibilities

In this role, you will:

Answer androuteincomingdentalcalls,returnvoicemailspromptly,confirmappointments,andprovidecourteous,professionalcustomerservice.
Schedule,reschedule,andcanceldentalappointmentsaccordingtodepartmentalguidelines,provideravailability,dentalprocedures,andappointmentlengths.
Maintainaccuratepatientdemographics,insuranceinformation,andschedulingdetailsintheelectronicdentalrecordsystemwhileprotectingconfidentialityandcomplyingwithHIPAA.
Monitorcancellations,fillopenappointmentslots,identifyschedulinggaps,andmaintainefficientproviderschedulestoimprovepatientaccessanddailyoperations.
Collaboratewithdentalproviders,clinicalstaff,andadministrativeteammembers;communicateschedulingconcernsandbarrierstopatientaccesstotheDentalPracticeManager.

Qualifications

High school diploma or GED equivalency required.
Customer service, telephone, scheduling, or contact center experience required.
Previous dental office or dental scheduling experience preferred.
Experience with Dentrix or similar electronic dental record and scheduling software preferred.
Knowledge of dental procedures, appointment types, and scheduling requirements preferred.
Experience managing high-volume telephone queues and providing front desk support is a plus.

Physical and Environmental Requirements

Frequent exposure to communicable diseases, toxic substance, medicinal preparations and other conditions common to clinic environment. Tasks involve contact with blood or body substances.
Requires standing, walking or sitting for long periods of time. Occasional bending, stretching or lifting up to 25 pounds.
Requires the ability to work under stressful situations.
Requires corrected vision and hearing to normal range or use of approved adaptive equipment.
Ability to work safely while using PPE and following infection-control protocols.
