Job Opportunity: District Scheduler

Position Overview: Congresswoman Dexter is seeking a dedicated and highly organized District Office Scheduler to join our team. The District Scheduler maintains Congresswoman Dexter's Oregon schedule, travel plans and related records and acts as a liaison with staff and the public. This position requires excellent organizational and communication skills, attention to detail, and the ability to work under pressure in a fast-paced environment. Work is mainly performed in an office environment, although some work may take place remotely. Full-time benefited position with a starting salary range $65-75K. Additional benefits include a student loan repayment program. Office location: 911 Federal Building on NE 11th ave, Portland, OR.

Key Responsibilities:

  • Manage the Congresswoman's daily and long-term schedule while she is in Oregon.
  • Receive, track and respond to all incoming requests for meetings and event appearances in Oregon.
  • Maintain event request tracking system of all invitations that have been declined, accepted or that are tentative/pending.
  • Work with the District Director to make recommendations on proposed meetings and events.
  • Manage the Congresswoman's Oregon calendar, including details of location, contacts and briefing materials.
  • Coordinate logistics for events including travel and transportation.
  • Prepare daily schedule updates for the Congresswoman and staff.
  • Communicate schedule updates quickly and clearly to the Congresswoman, staff and outside stakeholders
  • Work with the Washington, DC Scheduler to make sure the Oregon calendar lines up with the DC calendar
  • Make reservations for the Congresswoman's air travel, ground transportation and lodging.
  • Perform other administrative duties as required.
  • Provide support for other projects as needed.

Education & Experience:

  • Customer service experience preferred.
  • IT experience preferred.

Skills & Knowledge Required:

  • Strong communication, interpersonal and organizational skills.
  • Ability to work independently, solve problems and manage priorities.
  • Strong attention to detail, organizational and proofreading skills.
  • Proficient in office equipment (photocopier, computers, phones).
  • Professional and friendly telephone manner.
  • Ability to communicate tactfully and professionally with a variety of personalities.
  • Proficiency in Microsoft 365 Suite (Outlook, Word, Excel, PowerPoint).
