Job Overview

Marketech International Corporation USA is seeking a detail-oriented and proactive Document Control Specialist to support project documentation, daily inspection reporting, quality records, and document-turnover activities for construction and engineering projects.

This role is responsible for preparing, collecting, reviewing, organizing, tracking, and submitting project records such as daily inspection reports, Inspection and Test Plans (ITPs), checklists, Nonconformance Reports (NCRs), Requests for Information (RFIs), turnover packages, and related construction documentation. The Document Control Specialist will work closely with engineers, QA/QC personnel, project managers, field teams, subcontractors, and client representatives to help ensure documentation is accurate, complete, current, and submitted on time.

The ideal candidate has strong organization, communication, and follow-up skills, along with the ability to manage multiple priorities in a fast-paced project environment. Experience supporting semiconductor, industrial, cleanroom, MEP, construction, quality, or engineering documentation processes is highly preferred.

Key Responsibilities

Project Documentation & Record Management

  • Prepare, collect, review, organize, and maintain project documentation throughout the project lifecycle.
  • Maintain and track daily inspection reports, ITPs, checklists, NCRs, RFIs, inspection records, turnover documents, and related quality or construction records.
  • Ensure documents are properly named, dated, version-controlled, filed, and maintained according to company, project, and client documentation standards.
  • Maintain organized electronic and physical document-control records, including folders, logs, trackers, registers, and document archives.
  • Track document revisions, submission dates, approvals, outstanding items, and required follow-up actions.
  • Support the preparation and organization of project turnover packages, closeout documentation, final inspection records, and as-built supporting documents.
  • Help ensure current drawings, procedures, forms, checklists, and project records are available to the appropriate project teams.

Inspection Reporting & QA/QC Support

  • Assist engineers and QA/QC personnel with preparing, collecting, reviewing, and organizing daily inspection reports.
  • Coordinate with engineers to ensure required inspection reports, checklists, quality records, and supporting documentation are completed accurately and submitted on schedule.
  • Support daily inspection scheduling and engineer-assignment coordination as needed.
  • Track open quality items, inspection findings, NCRs, corrective-action records, and related documentation through resolution and closeout.
  • Review submitted documents for completeness, formatting, required signatures, supporting attachments, and compliance with project requirements.
  • Communicate missing information, incomplete reports, overdue items, revision needs, and documentation concerns to the appropriate project stakeholders.
  • Support QA/QC teams with maintaining accurate records for inspections, testing, verification activities, and project quality documentation.

Document Submission & Client Turnover

  • Submit required inspection reports, turnover documents, and project records to clients, project stakeholders, or designated document-management systems.
  • Coordinate document submissions with engineers, QA/QC teams, project managers, subcontractors, and client representatives.
  • Track client comments, review status, resubmission requirements, and outstanding documentation needs.
  • Support timely completion of document-turnover milestones, inspection packages, quality records, and project-closeout deliverables.
  • Maintain accurate submission logs, transmittals, turnover trackers, and documentation-status reports.
  • Assist with responding to document requests, audit requests, quality reviews, and project-record inquiries.

Communication & Project Coordination

  • Communicate professionally with engineers, QA/QC teams, project managers, subcontractors, field personnel, and client representatives regarding document status and requirements.
  • Participate in project meetings, documentation reviews, inspection-coordination meetings, and turnover-planning discussions as needed.
  • Provide timely updates regarding missing documents, deadlines, open action items, submission status, and project-record risks.
  • Help identify opportunities to improve document-control workflows, tracking tools, filing practices, and submission processes.
  • Maintain a proactive, detail-oriented, and accountable approach while supporting multiple project priorities.

Required Qualifications

  • Bachelor's degree in Engineering, Construction Management, Business Administration, Project Management, or a related technical discipline.
  • Excellent written and verbal English communication skills.
  • Strong attention to detail, organizational skills, and document-management discipline.
  • Ability to manage document tracking, deadlines, follow-ups, revisions, and multiple priorities in a fast-paced environment.
  • Basic understanding of construction, engineering, QA/QC, or project documentation, including daily reports, ITPs, checklists, NCRs, RFIs, and turnover packages.
  • Proficiency with Microsoft Office, including Excel, Word, Outlook, Teams, and PowerPoint.
  • Ability to work independently while collaborating effectively with engineers, QA/QC teams, project managers, field teams, and other stakeholders.
  • Ability to maintain accurate, confidential, and well-organized project records.

Preferred Qualifications

  • Experience in document control, project coordination, QA/QC documentation, construction administration, engineering support, or project closeout.
  • Experience supporting semiconductor, high-tech facility, industrial construction, cleanroom, MEP, manufacturing, or related project environments.
  • Familiarity with document-control workflows, quality-record tracking, inspection-reporting processes, and construction turnover requirements.
  • Experience with construction-management or document-management platforms such as Smartsheet, Autodesk Construction Cloud, BIM 360, Bluebeam, Procore, SharePoint, or similar systems.
  • Experience working with subcontractors, vendors, contractors, client representatives, or construction field teams.
  • Familiarity with as-built documentation, punch-list records, submittals, transmittals, inspection packages, and project-closeout processes.
  • Bilingual English/Mandarin Chinese communication skills are a plus, but not required.

Work Environment

This role may involve a combination of office-based document control, project coordination, field-support communication, and occasional project-site interaction. The Document Control Specialist will work closely with engineers, QA/QC teams, project managers, construction personnel, subcontractors, and client representatives supporting active semiconductor, industrial, and engineering projects.

The position requires the ability to manage changing documentation priorities, respond to time-sensitive requests, maintain strict accuracy, and ensure required records are complete and properly submitted throughout the project lifecycle.
