Position: Donor Relations & Data Management Specialist Department/Division: University Advancement Salary: $40,000 - $45,000 FLSA Classification: Salaried, Exempt Position Type/Duration: Full Time/Institution and Grant-funded/12 months Position Schedule: 8:00 am - 5:00 pm Monday - Friday (extended hours, weekends, and travel required) ESSENTIAL FUNCTIONS Donor Relations Prepare and generate timely acknowledgement letters related to donations, pledges, tribute gifts, bequests, matching gifts, special appeals, stock gifts, donor events, restricted gifts, etc. Track and process all pledges, produce monthly reports to facilitate pledge follow-up mailings Execute fulfillment mailings including welcome packets, thank you letters, cards and direct marketing appeals, as needed Respond to information inquiries from annual fund mailings including planned giving, gift opportunities and other special requests Update donors with current pledge/giving information Oversee and maintain current database records and paper files on major donors and prospects Database Entry/Gift Processing Track and process all gifts Enter donations into the database daily Work with accounting to ensure all donations are processed and recorded appropriately Perform research and update/create database records on major gift prospects as requested by Vice President for University Advancement or other staff. Set up pledges and matching gifts on donor records in database. Work with Vice President for University Advancement and Director of Research to establish and maintain best practices and procedures. Reconcile gifts monthly with the finance department. Support the finance department during the annual audit Submit annual reports and financials Submit weekly financial reports, providing total gifts, as well as chronicling individual donors Data Audit/Maintenance/Donor Analytics Troubleshoot issues and maintain the overall quality and integrity of the donor database Maintain highly accurate and current donor data that effectively tracks key information, cultivation activities and histories, and solicitation and reporting calendars Update of database, specifically donors with current address, title, and bio information from a variety of sources, lists, directories, etc. Create and manage ongoing data hygiene processes Execute "de-duping" of duplicate database records Performs queries and generate various lists as requested for events, mailings or e-appeals General Responsibilities Provide support to senior management as required Handle other data entry requests/projects from the other departments as assigned Participate in special projects and team/staff meetings Enroll in and complete professional development courses required to perform the duties of the job (Blackbaud, Raiser's Edge, etc.) Performs all other duties as required to support the goals of the department and the mission of the University. EDUCATION Bachelor's degree from a regionally accredited college or university required; MINIMUM QUALIFICATIONS Minimum of 3 years of experience in fundraising, business development, legal research, marketing, sponsored programs, or grantsmanship. Demonstrated experience in higher education environment, specifically advancement services and development. Knowledgeable regarding computer technology which plays a critical role in organizing and tracking needed information so that it can be used effectively during the cultivation and solicitation of donors. Outstanding interpersonal skills and flexibility that allow for effective management, team building, and quality relations with a variety of constituencies, including board members, donors, faculty, alumni, and staff. Ability to manage multiple priorities and projects while meeting deadlines. Computer proficiency, including Microsoft Office Suite, and Internet.
