Job Summary

The Engagement Planners are responsible for managing the pre-qualification and planning of briefings, tours, and non-standard events coordinated through the Customer Experience Team. The planning process for this role includes client & stakeholder meetings, scheduling & logistics, billing & fees, as well as account team onboarding and awareness. The pre-qualification process includes the evaluation of new requests based on each centers criteria and availability.

Key Responsibilities

• Use booking tools and internal applications to review schedule and approve requests for briefings, tours, events, summits, and internal meetings. • Pre-qualify briefings and tours based on each centers criteria and availability. • Account team awareness and training. • Management of non-standard operational requests. • Manage multiple inboxes, calendars, and booking tools. • Billing & fees for all briefing, tour, and event incurred costs. • Schedule appropriate furniture delivery and removal. • Coordinate support with internal and external teams and vendors. • Catering, Tech, Transportation, Interpretation, and maintain the relationships to ensure consistent quality of service. • Manage all logistical communication to respective stakeholders. • Speaker procurement & communications. • Facilitates and attend department meetings. • Organize and maintain essential information and resources in OneNote, Teams sites, and SharePoint. • Train and oversee backup responsibilities ensuring seamless coverage when out of the office. • Other duties and projects as assigned.

Preferred Qualifications

• Bachelors degree preferred. • Extensive experience with Microsoft products and current Microsoft Industry Tools. • Highly proficient in MS Office including Outlook, Word, Excel, and PowerPoint. • Ability to learn new tools and software. • 3-5 years of experience in Customer Service. • 2 years of planning experience. • Experience planning business events - product releases, trade shows, conferences, etc. • If not large, you must have experience planning multiple high-level events at once. • Extremely professional and client-focused. • Able to interact with all levels of business clients. • Strong interpersonal and hospitality/customer service skills. • Excellent communication skills are a must both verbal and written. • Process-oriented, organized, and strong attention to detail yet flexible. • Self-motivated and able to keep up in a strategic and fast-paced environment. • Independent yet able to follow guidelines well and shows a good sense of judgment. • Comfortable communicating with a global community, i.e., various cultures and languages.
