We are seeking an enthusiastic and experienced Events Specialist to join our team and manage our event planning and execution efforts.
We are looking for a detail-oriented and creative Events Specialist to oversee the planning, coordination, and execution of events for our development team. In this role, you will manage all aspects of event planning, from conceptualization to post-event evaluation, ensuring that each event aligns with our mission and fundraising goals. Your expertise will be essential in creating memorable and impactful experiences that engage our supporters and advance our cause.
Responsibilities could include:
Event Planning: Develop and execute a range of events, including fundraising galas, community outreach activities, and donor appreciation events. Manage all aspects of event planning, including venue selection, logistics, and vendor coordination.
Budget Management: Prepare and manage event budgets, ensuring that events are executed within financial parameters. Track expenses and report on budget performance, identifying opportunities for cost savings and efficiencies.
Coordination & Execution: Oversee day-of-event logistics, including setup, coordination of staff and volunteers, and troubleshooting any issues that arise. Ensure that all event activities run smoothly and according to plan.
Marketing & Promotion: Collaborate with Community Relations for marketing and promotional strategies to drive attendance and engagement for events.
Donor Engagement: Work closely with the development team to engage and recognize donors through events. Develop strategies to build and strengthen relationships with supporters and sponsors.
Vendor & Volunteer Management: Coordinate with vendors, including caterers, decorators, and entertainers, to ensure high-quality service and adherence to event specifications. Collaborate with Community Relations to recruit, train, and manage event volunteers to support various functions.
Post-Event Evaluation: Conduct post-event evaluations to assess the success and impact of each event. Gather feedback from attendees, analyze performance metrics, and make recommendations for future improvements.
Community Relations Collaboration: Work with Community Relations team to represent the organization at community events and networking opportunities to build relationships and promote our mission. Act as an ambassador for the organization, enhancing our public profile and community presence.
Qualifications:
- Bachelor's degree in Event Management, Public Relations, Marketing, or a related field.
- Proven experience in event planning and management, preferably in a nonprofit or advocacy setting.
- Strong organizational and project management skills, with the ability to handle multiple events and deadlines simultaneously.
- Excellent communication and interpersonal skills, with the ability to engage and collaborate with diverse stakeholders.
- Creative problem-solving abilities and a keen eye for detail.
- Proficiency in Microsoft Office Suite and experience with event management software and tools.
- Ability to work flexible hours, including evenings and weekends, as needed for events.
