Summary:
The main function of this role is to provide high-level administrative support to the HR office by conducting research, handling information requests, and performing a wide range of clerical functions. The position acts as an information and communication manager for executives and their teams.
 
Responsibilities
  • Assist the VP of HR with calendar management, daily administrative tasks, and supporting HR team functions.
  • Perform general office duties such as mailing, making copies/prints, coordinating schedules, setting up the office, maintaining office equipment, ordering supplies, and maintaining records management systems.
  • Prepare invoices, reports, memos, letters, financial statements, and other documents.
  • File and retrieve corporate documents, records, and reports.
  • Open, sort, and distribute incoming correspondence, including faxes and emails.
  • Prepare responses to correspondence containing routine inquiries.
  • Assist in event planning, including scheduling, catering, set-up, and break down.
  • Review and approve invoices, reports, memos, letters, financial statements, and other documents.
  • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
  • Prepare agendas and make arrangements for committee, board, and other meetings.
  • Make travel arrangements, plan meetings, and manage an extremely active calendar of appointments.
  • Assist with staff on-boarding and off-boarding, including equipment setup and system access requests.
  • Handle ad-hoc administrative duties as they arise.
 
Qualifications
  • Bachelor's degree required.
  • 2 years of corporate experience required.
  • Experience working with executives is mandatory.
 
Skills
  • Strong verbal and written communication skills, multi-tasking abilities, customer service skills, and interpersonal skills.
  • Ability to work independently and manage one's time effectively.
  • Expert ability to keep information organized and confidential.
  • Experience with computer applications, such as Microsoft Word, Excel, and PowerPoint.
  • Expert ability in event planning and budgeting.
  • Build relationships across teams, offering help and welcoming ideas from others to drive work forward inclusively.
  • (Optional) Bilingual in Korean and English.
 
Pay Transparency: The typical base pay for this role across the U.S. is: $46.15 - $46.15/hr. Non-exempt positions are eligible for overtime at a rate of 1.5 times the base hourly rate for all hours worked in excess of 40 in a work week, or as required by state or local law. Final offer amounts, within the base pay set forth above, are determined by factors including your relevant skills, education and experience. Full-time employees are eligible to select from different benefits packages.
