Job DescriptionWe are seeking a highly organized and proactive Executive Administrative Assistant to provide dedicated support to two senior leaders. This role focuses on executive administrative support, including complex calendar management, travel coordination, expense management, meeting preparation, and follow-through on key business priorities.
Responsibilities- Manage complex calendars for two senior leaders, including scheduling, prioritization, meeting coordination, and conflict resolution.
- Arrange domestic and international travel, including flights, accommodations, ground transportation, itineraries, and required travel documentation.
- Prepare, submit, and track expense reports accurately and in a timely manner.
- Coordinate meeting logistics, including invitations, agendas, materials, room or virtual meeting arrangements, and attendee communications.
- Provide meeting preparation and light business support, including gathering background information and coordinating stakeholder input.
- Assist with agendas, briefing materials, presentations, and meeting notes.
- Develop an understanding of leadership priorities and anticipate administrative needs.
- Track action items and support timely completion of priority initiatives.
- Maintain trackers and organize materials for selected business initiatives.
- Handle sensitive and confidential information with discretion and professionalism.
- Support additional administrative and operational activities as needed.
Required Qualifications- 2-4 years of experience supporting senior-level leaders in an administrative, executive assistant, or similar role.
- Bachelor's degree preferred or equivalent experience.
- Strong calendar management and organizational skills.
- Ability to manage competing priorities and work independently.
- Excellent written and verbal communication skills.
- Proficiency with calendar, travel, presentation, and expense management tools.
- Strong problem-solving skills with the ability to resolve issues quickly with minimal supervision.
- Ability to understand business priorities and prepare clear, organized meeting materials.
- Experience with expense billing, data collection, and presentations.
- Strong professionalism, discretion, confidentiality, and service-oriented approach.
