Volunteers of America Delaware Valley is seeking an experienced, highly organized Executive Administrative Assistant to provide high-level administrative and operational support to the Chief Operating Officer. This role serves as a key liaison with staff, community partners, government agencies, and stakeholders, requiring strong discretion, professionalism, and the ability to manage multiple priorities in a fast-paced human services environment.
What You'll Do:
Provide comprehensive administrative support to the COO and executive leadership team
Manage executive calendars, appointments, meetings, and travel arrangements
Prepare correspondence, reports, presentations, agendas, meeting minutes, and other executive-level documents
Coordinate committee meetings and executive leadership meetings, including logistics and follow-up
Serve as a liaison between executive leadership, staff, government agencies, community organizations, and external stakeholders
Screen and prioritize incoming communications (email, phone, correspondence)
Track deadlines, action items, and follow-ups to ensure timely completion
Support special projects, strategic initiatives, and organizational events
Coordinate logistics for conferences, trainings, community meetings, and public events
Support grant administration and reporting activities as assigned
Prepare expense reports, procurement requests, and budget-related documentation
Maintain filing systems, confidential records, and sensitive information with the highest discretion
Assist with developing and implementing administrative policies and procedures
Perform other duties as assigned to support operations and mission objectives
What You Need:
Associate's degree required; bachelor's preferred (Business Administration, Public Administration, or related field)
5+ years of progressively responsible administrative experience supporting senior executives
Preferred experience in nonprofit, government, healthcare, or social services settings
Experience coordinating stakeholder engagement meetings and working directly with executive leadership (strongly preferred)
Excellent written and verbal communication skills
Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
Strong organization, time management, attention to detail, and accuracy
Ability to handle confidential and sensitive information with discretion
Ability to prioritize multiple assignments, meet deadlines, and exercise sound judgment
Professional demeanor and customer-service orientation
Ability to occasionally lift/carry up to 20 lbs and attend meetings/events throughout Camden County
Availability for occasional evening meetings or special events
