Volunteers of America Delaware Valley is seeking an experienced, highly organized Executive Administrative Assistant to provide high-level administrative and operational support to the Chief Operating Officer. This role serves as a key liaison with staff, community partners, government agencies, and stakeholders, requiring strong discretion, professionalism, and the ability to manage multiple priorities in a fast-paced human services environment.

What You'll Do:

  • Provide comprehensive administrative support to the COO and executive leadership team

  • Manage executive calendars, appointments, meetings, and travel arrangements

  • Prepare correspondence, reports, presentations, agendas, meeting minutes, and other executive-level documents

  • Coordinate committee meetings and executive leadership meetings, including logistics and follow-up

  • Serve as a liaison between executive leadership, staff, government agencies, community organizations, and external stakeholders

  • Screen and prioritize incoming communications (email, phone, correspondence)

  • Track deadlines, action items, and follow-ups to ensure timely completion

  • Support special projects, strategic initiatives, and organizational events

  • Coordinate logistics for conferences, trainings, community meetings, and public events

  • Support grant administration and reporting activities as assigned

  • Prepare expense reports, procurement requests, and budget-related documentation

  • Maintain filing systems, confidential records, and sensitive information with the highest discretion

  • Assist with developing and implementing administrative policies and procedures

  • Perform other duties as assigned to support operations and mission objectives

What You Need:

  • Associate's degree required; bachelor's preferred (Business Administration, Public Administration, or related field)

  • 5+ years of progressively responsible administrative experience supporting senior executives

  • Preferred experience in nonprofit, government, healthcare, or social services settings

  • Experience coordinating stakeholder engagement meetings and working directly with executive leadership (strongly preferred)

  • Excellent written and verbal communication skills

  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)

  • Strong organization, time management, attention to detail, and accuracy

  • Ability to handle confidential and sensitive information with discretion

  • Ability to prioritize multiple assignments, meet deadlines, and exercise sound judgment

  • Professional demeanor and customer-service orientation

  • Ability to occasionally lift/carry up to 20 lbs and attend meetings/events throughout Camden County

  • Availability for occasional evening meetings or special events
