    Description

    AWS People Experience and Technology (PXT) seeks a confident, highly intuitive, self-motivated, and team-oriented Executive Assistant to provide high-level administrative support to Director-level leadership within the AWS PXT organization. This role operates at the intersection of our people strategies and business operations, requiring an elevated level of confidentiality given the sensitive nature of PXT work - including talent management, organizational design, compensation, and workforce planning.

    You will be able to demonstrate the highest integrity and discretion in handling confidential information, professionalism in dealing with senior professionals inside and outside the company, emotional intelligence, and a good sense of humor. You will possess the ability to complete complex tasks and projects quickly with minimal guidance, react with appropriate urgency to situations that require a quick turnaround, take effective action in ambiguous situations without having to know the total picture, and show grace under pressure.

    You will work autonomously, understand business priorities, manage internal and external deadlines, and anticipate needs proactively. You must be able to work successfully in a team environment and build effective working relationships across both PXT and the AWS business teams your leader(s) support(s).

    This role requires five (5) days a week in office.

    Key job responsibilities

    Calendar & Scheduling Management

    • Manage complex calendars for multiple executives across global time zones, balancing both HR leadership priorities and the business teams they support
    • Coordinate scheduling with awareness of downstream impact
    • Anticipate calendar-heavy seasons and proactively coordinate with HR partners and business EAs to protect critical time blocks and simplify scheduling.
    • Provide backup calendaring support for peer Executive Assistants within the PXT EA community

    Deliverable & Project Management

    • Track and drive completion of key deliverables; follow up on action items
    • End-to-end program management on team-wide initiatives and special projects
    • Preparation and review of Senior Executive-level documents, including sensitive PXT materials
    • Document writing, editing, and readiness
    • Prepare and distribute minutes for key internal meetings, ensuring appropriate handling of confidential content.

    Events & Team Activities

    • Proactive coordination and engagement with leadership in planning and organizing events, activities, and business cycle calendars
    • Organize, execute, and assist with team activities including staff meeting agendas, all-team meetings, off-sites, talent reviews, operational planning meetings, and team social events
    • Participate in and contribute to EA team maintenance (EA Team meetings, events, training, mentoring, onboarding new EAs, etc.) and events for both PXT and the business teams supported by PXT
    • Seamless meeting logistics include video conference and conference calls for internal and external meetings

    Travel & Expenses

    • Coordinate domestic and international travel arrangements (cost-effective air, hotel, and ground transportation with detailed itineraries)
    • Manage expense reimbursement including report coordination, submission, and issue tracking

    Collaboration & Liaison

    • Act as a liaison between PXT leaders and their direct reports, as well as between PXT and the AWS business leaders they partner with
    • Work closely with leadership teams, Recruiting, Human Resources, Finance, and other Executive Assistants across multiple lines of business to provide cross-functional support
    • Collaborate closely with peer EAs across both the PXT EA community and the broader AWS EA network
    • Suggest and lead process improvements to make the team more effective
    • Manage document repositories, wikis, and EA toolkits

    Confidentiality

    • Handle highly sensitive PXT information - including talent reviews, compensation data, organizational changes, and employee relations matters - with the utmost discretion
    • Maintain strict confidentiality boundaries when working across PXT and business teams
    • Exercise sound judgment in determining appropriate information sharing and escalation
