    Job Description:

    Johnson & Johnson is recruiting for an Executive Assistant, located in Bogotá, Colombia.

This position serves as a trusted partner, managing executive priorities, coordinating complex schedules, and ensuring seamless communication across internal and external stakeholders. The role offers the opportunity to work in a dynamic, global organization while contributing to initiatives that help improve healthcare outcomes around the world.

    Key Responsibilities

    • Provide comprehensive administrative support to senior executives and leadership teams.
    • Manage complex calendars, prioritize scheduling requests, and coordinate meetings across multiple time zones.
    • Arrange domestic and international travel, including itineraries, accommodations, and expense reporting.
    • Prepare presentations, reports, meeting materials, and correspondence with a high degree of accuracy and professionalism.
    • Coordinate leadership meetings, town halls, and business reviews, including agenda preparation and follow-up actions.
    • Track priorities, deadlines, and deliverables to ensure timely execution of business activities.
    • Serve as a key point of contact for internal and external stakeholders, maintaining effective and professional communications.
    • Support budget tracking, purchase orders, invoice processing, and other administrative business processes as needed.
    • Maintain confidentiality of sensitive business information and executive communications.
    • Identify opportunities to improve administrative processes and enhance operational efficiency.

    Qualifications

    Education

    • Associate's degree, bachelor's degree, or equivalent combination of education and relevant experience required.
    • Bachelor's degree in Business Administration, Communications, Management, or a related field preferred.

    Experience and Skills

    Required

    • Minimum 3 years of experience providing administrative support to senior leaders or executives.
    • Proven experience managing complex calendars, meetings, travel arrangements, and expense reports.
    • Strong organizational and project coordination skills with the ability to manage multiple priorities simultaneously.
    • Excellent verbal and written communication skills.
    • Proficiency in Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams.
    • Demonstrated ability to exercise sound judgment, discretion, and confidentiality.
    • Strong attention to detail and commitment to delivering high-quality work.
    • Demonstrates an understanding of AI concepts and frameworks, including awareness of responsible and ethical AI practices, and has experience generating effective prompts to boost efficiency and productivity.

    Preferred

    • Experience supporting executives within a multinational or matrixed organization.
    • Knowledge of enterprise business systems and financial administration processes.
    • Experience coordinating regional or global meetings and events.
    • Advanced presentation preparation and business communication skills.
    • Ability to anticipate executive needs and proactively resolve issues.
    • Experience working with cross-functional teams and senior stakeholders.
    • Continuous improvement mindset with a focus on operational excellence.

    Other

    • Fluency in Spanish and English required.
    • Ability to work effectively across different cultures and time zones.
    • Occasional domestic and/or international travel may be required.
    • Must be legally authorized to work in Colombia.
