JOB DESCRIPTION

JOB TITLE: Executive Assistant REPORTS TO: Executive Assistant Chief Financial Officer CFO WAGE/HOUR STATUS: Non Exempt PAY GRADE: Para 10

PRIMARY PURPOSE

The Executive Assistant is responsible for supporting the Chief Financial Officer in the daily operation of the division as well as the planning, implementing, directing, and maintaining of District programs by providing a wide variety of complex and confidential executive administrative support, analyzing requests, and providing recommendations for action, communicating information on behalf of the CFO to internal and external customers.

QUALIFICATIONS

Required:

  • HS Diploma/GED from an accredited institution
  • Five years of progressively responsible executive administrative experience including at least two years providing support to senior and/or executive-level public school administration or related experience.

Preferred:

  • Bachelors Degree from an accredited College or University

  • Strong knowledge of accounting principles.
  • Strong organizational skills.
  • Effective problem solver.
  • Ability to multi-task and meet deadlines.
  • Strong knowledge of computer programs/technology.

MAJOR RESPONSIBILITIES AND DUTIES

  • Uses initiative and independent judgment within established policies and procedural guidelines.
  • Develops, drafts, and prepares final correspondence and reports by collecting and analyzing information and distributes as directed by the CFO.
  • Receives and screens communications to CFO including telephone calls, mail, and e-mail messages using independent judgment to determine priority; researches and responds to communications as appropriate.
  • Anticipates needs and prepares CFO for speaking engagements to include logistics, presentations, and program appearances.
  • Builds and manages both electronic and paper filing systems as well as taking steps to maintain state compliance with all applicable record-keeping requirements.
  • Maintains professional and technical knowledge by attending appropriate workshops, reviewing professional publications, and establishing networks.
  • Prepares purchase requisitions, office supply orders, journal vouchers, as needed, deposits, and payroll transmittal for Financial Services Department.
  • Spring Assistance for Educators (SAFE) - reviews applications, writes checks, and maintains checking account.
  • Other duties as assigned.

WORKING CONDITIONS

The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling and significant fine finger dexterity. Heavy telephone responsibilities, frequent interruptions, maintain control in stressful situations, prolonged use of computer, occasional prolonged and irregular hours.
