Key Responsibilities
Executive Support & Calendar Management
Proactively manage complex calendars across multiple platforms, anticipating conflicts and aligning priorities.
Prepare executives for meetings by compiling agendas, materials, and briefing documents.
Anticipate needs and resolve potential issues before they arise.
Travel & Conference Coordination
Coordinate domestic and international travel arrangements, balancing logistics, preferences, and cost considerations.
Manage all aspects of conference participation, including registration, travel, lodging, presentation preparation, and on-site support.
Ensure executives are fully prepared for external meetings, events, and speaking engagements.
Meeting & Event Support
Plan and execute high-level internal and external meetings, including board meetings, advisory sessions, and partner convenings.
Oversee logistics such as venue selection, catering, A/V support, materials preparation, and follow-up communication.
Assist with internal events, team-building initiatives, and company retreats.
Operations & Reporting
Support organizational reporting by collecting, organizing, and preparing necessary documentation for grants, contracts, and internal initiatives.
Track key deadlines and ensure follow-through on executive commitments and priorities.
Provide light HR and onboarding support to help new team members integrate successfully.
Communications & Presence
Draft, edit, and format executive correspondence, presentations, and other professional documents.
Assist with managing the organizations digital presence, including website updates and social media activity.
Represent the executive team professionally and effectively when interacting with internal and external stakeholders.
Qualifications
Bachelors degree or equivalent professional experience.
5+ years of experience supporting senior executives in a dynamic, fast-paced environment.
Proven ability to manage multiple calendars, competing priorities, and complex projects.
Strong experience with travel planning and event logistics.
Exceptional written and verbal communication skills, with strong interpersonal abilities.
High level of discretion in handling confidential and sensitive information.
Proficiency with Microsoft Office Suite, Google Workspace, and scheduling/project management tools (e.g., Monday.com, Outlook).
Experience with Salesforce and social media management tools preferred.
Self-starter with excellent judgment, problem-solving skills, and meticulous attention to detail.
