    Job Description

Are you always looking around corners and anticipating needs? Do you believe that details matter and want to support a highly engaged team operating at the pace and scale of a fast-moving global organization?

We are looking for an exceptionally bright, well-organized, and self-motivated Executive Assistant to become part of our team within AWS Forward Deployed Engineering. As an Executive Assistant to two directors, you will have the opportunity to work in partnership with our leaders, a solid team of other Executive Assistants, and key business partners across multiple regions. FDE operates globally across AMER, EMEA, APJC, and WWPS geographies, which means this role requires comfort navigating complex, multi-region coordination and fast-changing priorities. We are seeking a driven, bright, and motivated individual with a history of high performance to support our organization. This exciting role requires superior attention to detail, great organization and prioritization skills, the ability to plan ahead and meet tight deadlines, all while juggling multiple critical requests in a high-velocity, customer-obsessed environment.

A high level of integrity and discretion in handling confidential information and professionalism in dealing with leaders (in and outside Amazon) is important, as is the ability to be flexible and change direction seamlessly all while having fun. The successful candidate will possess the ability to complete complex tasks and projects quickly with little guidance, react with appropriate urgency to situations that require a quick turnaround, and want to take on varied and exciting new projects and learn new skills. Given the pace of FDE engagements and the global nature of our delivery pods, you will need to take effective action without having to know the total picture and efficiently and proactively solve difficult or complex problems that affect people within the department or other related groups.

    Key job responsibilities

Responsibilities for this position include complex calendar management and scheduling of internal and external meetings across multiple time zones, managing travel bookings for a globally distributed organization with active customer engagements, handling expenses, multi-tasking during ad hoc projects, preparing documentation for meetings, assisting with presentations, and a variety of other day-to-day administrative tasks on behalf of the Directors. You will also help coordinate logistics for customer-facing engagements, leadership reviews, and cross-functional activities spanning FDE, AWS ProServe, Marketing, GTM, WWSO, AGS Sales and SA, and Partner organizations.

    A day in the life

Organize, prioritize, and appropriately handle time-sensitive, confidential information and ensure action items are addressed in a timely manner.

Organize, execute, and assist with team activities (staff meeting agendas, on-sites/off-sites, team social events, customer engagement events, and FDE pod coordination activities).

Schedule cost-effective air, hotel, and ground transportation. Create detailed travel itineraries, both domestic and international, including smooth transitions between time zones to support leaders who travel frequently for customer-embedded engagements across global regions.

Coordinate with in-house travel agents and manage international travel processes. Submit expense reports in a timely fashion.

Coordinate closely with Recruiting teams, Facilities team, HR team, and other Executive Assistants within the Amazon community, as well as with cross-functional stakeholders across the FDE and broader AWS ProServe ecosystem.

Track and help drive completion of key deliverables and follow up on items to include meeting notes and action items, ensuring leadership stays connected across a fast-moving, globally distributed organization.

    About Company

At Amazon, we don’t wait for the next big idea to present itself. We envision the shape of impossible things and then we boldly make them reality. So far, this mindset has helped us achieve some incredible things. Let’s build new systems, challenge the status quo, and design the world we want to live in. We believe the work you do here will be the best work of your life.

Wherever you are in your career exploration, Amazon likely has an opportunity for you. Our research scientists and engineers shape the future of natural language understanding with Alexa. Fulfillment center associates around the globe send customer orders from our warehouses to doorsteps. Product managers set feature requirements, strategy, and marketing messages for brand new customer experiences. And as we grow, we’ll add jobs that haven’t been invented yet.

    It’s Always Day 1
At Amazon, it’s always “Day 1.” Now, what does this mean and why does it matter? It means that our approach remains the same as it was on Amazon’s very first day – to make smart, fast decisions, stay nimble, invent, and stay focused on delighting our customers. In our 2016 shareholder letter, Amazon CEO Jeff Bezos shared his thoughts on how to keep up a Day 1 company mindset. “Staying in Day 1 requires you to experiment patiently, accept failures, plant seeds, protect saplings, and double down when you see customer delight,” he wrote. “A customer-obsessed culture best creates the conditions where all of that can happen.” You can read the full letter here

    Our Leadership Principles
Our Leadership Principles help us keep a Day 1 mentality. They aren’t just a pretty inspirational wall hanging. Amazonians use them, every day, whether they’re discussing ideas for new projects, deciding on the best solution for a customer’s problem, or interviewing candidates.
