We're looking for a highly organized, proactive professional to serve as Executive Assistant to the Chief of Staff. In this pivotal role, you'll help keep priorities moving, information flowing, and operations running smoothly while supporting key organizational initiatives and executive leadership. The Executive Assistant to the Chief of Staff plays a critical role in supporting the Chief of Staff by providing executive calendar management, meeting preparation, and high-level stakeholder communications. This role will maintain a dotted-line reporting relationship to the Chief of Staff's Executive Liaison, supporting coordination and alignment to ensure the Chief of Staff is equipped to advance strategic and organizational priorities.

Essential duties and responsibilities include:

  • Provide executive calendar management for the Chief of Staff, balancing internal and external commitments while ensuring alignment with key priorities
  • Manage meeting logistics including preparation of agendas, materials, and conference room reservations.
  • Collect and format briefing materials, ensuring accuracy and alignment with leadership standards
  • Support various organizational projects as assigned
  • Draft or edit written correspondence as needed.
  • Coordinate travel arrangements for the Chief of Staff.
  • Develop systems to promote efficiency and knowledge sharing across the Chief of Staff's office and Administrative Services division.
  • Maintain archives of key documents and correspondence for future reference and institutional continuity
  • Serve as a key point of contact for the Chief of Staff's office, ensuring information flows effectively between the Chief of Staff, Commissioner's Engagement Team and internal divisions.
  • Partner with the Commissioner's Engagement Team to ensure seamless information flow between the Commissioner, Chief of Staff, and internal divisions by maintaining and tracking the internal systems used to route information, engagement requests, and approval needs to the leadership team.
  • Manage and track external stakeholder inquiries including correspondence between the Precinct, County Departments, and County Officials in a professional and timely manner.
  • Develop and maintain a centralized calendar of events and engagements across the organization, providing visibility into key activities and milestones.
  • Track key assignments and approvals on Monday.com
  • Track departmental expenditures to ensure alignment with budgetary guidelines
  • Manage and reconcile expense reports, travel reimbursements, and purchase orders
  • Order and manage office supplies to ensure the Chief of Staff's office remains well equipped and organized
