Position Responsibilities:

Complex executive calendar management with detailed scheduling across multiple high-level calendars; Exec preparation, including detailed coordination of reading materials and background information to ensure executive readiness for daily events; Coordination and planning of domestic and international travel, including organizing trip agendas and local logistics; Completing expense reports, purchase orders, and managing corporate card purchases; participation in budget planning and tracking as needed; Planning and coordinating team activities and events; Serving as liaison between leadership and team members across multiple geographic regions; Managing other core administrative activities (space planning, new-hire onboarding, organizational charts, supply ordering).

Position Requirements:

Bachelor"s degree or foreign equivalent degree in International Business or a related field and three years of experience in the job offered or a related occupation. Must have one year of experience in the following skills: (1) experience with calendar management including prioritization of meetings and efficiently utilizing executive time; (2) experience with travel management, including complicated domestic and international travel itineraries in support of officer-level executive; (3) experience with purchasing and expense management, including purchasing and procurement processes and ensuring timely reimbursement of executive"s expenses; (4) experience with space management, including overseeing office space design and buildouts and directing other assistants to execute seating arrangements for a large and globally-disbursed organization; (5) experience with team communications, including effectively communicating with stakeholders at all organizational levels; (6) handling confidential and sensitive information; (7) strategic planning and proactively creating workback schedules to ensure readiness for business cycle events and that deadlines are met; (8) experience with event planning and coordination for meetings and corporate functions; (9) mentoring and training junior staff; and (10) initiating, planning, executing, and closing projects, including identifying metrics and goals tracking for team performance.
