Are you a Sr. Executive Assistant with C-level experience that enjoys working in a fast paced, growing organization? As Executive Assistant II, you will be a critical member of a high-performing team and will perform a wide variety of C-level support duties including scheduling, making meeting and travel arrangements, event and meeting planning, drafting and proofreading communications, document distribution and document retention. Additional duties may include producing high quality reports, presentations, or other documents as directed. This is an onsite position located in our Plano, TX office. Job responsibilities are as follows:
Coordinate and schedule conference calls, meetings, and events for the department with regular interaction with key leaders inside and outside Republic Finance
Maintain records and create high quality status reports, presentations, charts, graphs, spreadsheets, summarizing information that is often confidential in nature
Create, proofread, and edit complex or confidential correspondence; relay confidential information; maintain and organize executive level information
Prepare and manage departmental budget, track monthly expenses and coordinate with executive`s areas of responsibility to identify and anticipate expenses for the current and upcoming year for budget purposes
Apply broad knowledge of policies, practices, and procedures in accordance with their day-to-day tasks
Provide high-level administrative support to the EVP, Director of Branch Operations, including travel and expense management, maintaining detailed travel itineraries, managing personalized card distribution, coordinating branch-related updates, and partnering with branch administrators to support division communications and meetings.
Provide executive administrative support to the CFO, including calendar management, vendor management, maintaining report binders, travel and expense management, scheduling conference calls, applying electronic signatures to confidential documents on behalf of the executive, and scheduling and coordinating meetings and events for the Finance department.
Provide additional administrative support to the Finance team, including scheduling meetings, applying electronic signatures to documents on behalf of team members, and managing travel and expense activities for a team of approximately four people.
Participate in the Employee Engagement Committee by helping plan, coordinate, and execute events for the Plano office.
Assist the Senior Administrative Assistant with key strategic large-scale events, including securing hotel and catering contracts, preparing invitations and communications, and coordinating event details on-site.
Handle multiple tasks with a high degree of attention to detail, manage frequent interruptions, set priorities effectively, and adapt quickly to changing needs and deadlines.
Develop and maintain a basic working knowledge of office technology to support executives with joining and participating in virtual meetings and being able to successfully operate company-wide meetings as facilitator and mediator.
Assist with special assignments and projects, including coordinating ad-hoc initiatives and providing temporary administrative support for HR- and Marketing-related tasks as needed.
This position is located in our Plano, TX office with a M-F 8am-5pm schedule. (*It is a requirement that this person work onsite and not remote.)
Requirements
5+ years of experience as an Executive Assistant or an Administrative Assistant for Senior Management
Bachelor's degree or equivalent work experience
Current licensed notary in Texas (strongly preferred), or be willing to obtain
Excellent organization and time-management skills, with the ability to set priorities, handle multiple tasks, and meet critical deadlines with high degree of attention to detail
Proficiency in MS Office products, particularly Outlook, Word, PowerPoint, and Excel
Desire to work in a positive, results-driven, and collaborative work environment
Self-motivated and high degree of autonomy in completing assigned tasks and projects
Ability to make sound judgments and maintain a high degree of confidentiality
Excellent verbal & written communication skills
