Job Description
This Executive Assistant II role provides high-level administrative support to the Benefits Experience team, partnering closely with leaders to drive strong focus and flawless execution in a fast-paced environment. You will manage complex calendars, coordinate travel and expenses, and handle a high volume of tasks and projects with minimal guidance. The position requires a customer-obsessed mindset, exceptional attention to detail, and the ability to make timely decisions while reacting with the right level of urgency. You willwork with sensitive information, interact with professionals inside and outside the organization, and help ensure that key deliverables and priorities are executed on time.
Responsibilities
Provide comprehensive executive support to 2-3 director-level leaders, including their immediate teams and an extended executive assistant team.
Manage complex calendars for multiple executives, including scheduling, rescheduling, and prioritizing meetings across time zones while balancing competing demands.
Monitor and track director or vice president meetings, priorities, and emails, and act as a proxy when appropriate to ensure timely responses and follow-through.
Coordinate all aspects of domestic and international travel, including flights, accommodations, ground transportation, and related logistics.
Prepare, process, and reconcile expense reports, ensuring accuracy and compliance with internal policies.
Organize and maintain documentation related to executive activities, including meeting materials, action items, and follow-up tasks.
Track and manage multiple tasks and action items simultaneously, ensuring appropriate and timely action on all deliverables.
Provide day-to-day administrative support such as meeting preparation, agenda coordination, note-taking, and distribution of follow-up items.
Use Microsoft Office applications to create, edit, and manage documents, presentations, spreadsheets, and email communications.
Prioritize incoming information and requests, applying sound judgment to determine what requires immediate attention and what can be delegated or scheduled.
Communicate clearly and professionally on behalf of the executives with internal and external stakeholders.
Maintain high levels of integrity, discretion, and confidentiality when handling sensitive and confidential information.
Adapt quickly to shifting priorities and changing business needs, switching gears at a moment's notice as situations evolve.
Collaborate with a 7-person extended executive assistant team to ensure consistent support coverage and alignment across leadership.
Demonstrate a high degree of professionalism in all interactions with professionals inside and outside the organization.
Essential Skills
5+ years of high-level leadership support experience, or 3+ years of experience within the same organization.
High school diploma or equivalent.
Proficiency with Microsoft Office products and applications, including Outlook, Word, Excel, and PowerPoint.
Proven experience in executive administrative support, including calendar management and administrative assistance.
Demonstrated ability to manage a high volume of tasks and projects with little to no guidance.
Impeccable attention to detail and accuracy in all work products.
Ability to make smart, timely decisions and respond with appropriate urgency to time-sensitive situations.
Exceptional verbal and written communication skills.
Ability to manage complex calendar management and scheduling for multiple leaders.
Experience coordinating travel arrangements and managing related logistics and expenses.
High levels of integrity and discretion when handling confidential and sensitive information.
Strong organizational skills with the ability to track, document, and follow up on multiple action items and deliverables simultaneously.
Ability to work effectively with professionals and stakeholders at all levels.
Additional Skills & Qualifications
Experience providing executive support within benefits, technology, or similar fast-paced corporate environments.
Experience supporting both technical and non-technical executives.
Experience working closely with extended executive assistant teams to coordinate support across multiple leaders.
Demonstrated ability to switch gears quickly and adapt to changing priorities.
Strong customer-obsessed mindset with a focus on delivering high-quality support.
Comfort working in a role that requires proactive problem-solving and independent judgment.
Work Environment
This role is fully onsite in Seattle and supports 2-3 director-level executives, their teams, and a 7-person extended executive assistant team within a benefits and technology-focused environment. You will work closely with both technical and non-technical leaders and collaborate regularly with other executive assistants. The standard schedule is Monday through Friday, approximately 8:30 a.m. to 4:30 p.m. Pacific Time, with some flexibility to ensure a full eight-hour workday. The position involves daily use of Microsoft Office and Outlook, frequent calendar and meeting coordination, and interaction with stakeholders in a professional office setting.

Pay and Benefits
The pay range for this position is $30.00 - $32.00/hr.
