Amazon Internal Audit is a global team that works across all of Amazon"s businesses. Through audits, we help protect the company and help drive improvements across Amazon; our work is reported to senior leaders and the Audit Committee of the Board of Directors.

Internal Audit is seeking a proactive, customer service obsessed and team-oriented Executive Assistant to join our team. This role requires attention to detail, organizational skills, and the ability to meet tight deadlines and juggle multiple critical requests across internal and external stakeholders. The Executive Assistant will support multiple Directors and will work closely with other Internal Audit EAs, the Internal Audit Operations team, and other Executive Assistants across multiple Amazon lines of business (AWS, Devices, Advertising, Media & Entertainment) and Corporate functions. You will be comfortable in a fast-paced, goal-focused environment, while maintaining great flexibility, a sense of humor and composure. You will work autonomously and possess the ability to complete a high volume of tasks with minimal guidance or supervision.

Key to the position is the ability to be organized, understand business priorities, manage internal and external deadlines, and anticipate needs proactively while also serving as another "go to" for members on this team. In addition, the ability to have a high level of integrity and discretion in handling confidential information and professionalism in dealing with senior professionals inside and outside the company is critical. You will possess the ability to complete tasks quickly with little guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective actions to deliver results and achieve objectives. You must learn and be curious and be able to work successfully in a team environment and build effective working relationships inside and outside the group.

This role requires five (5) days a week in office.

Key job responsibilities

Responsibilities include but are not limited to:

  • Effectively and proactively support multiple Internal Audit Directors
  • Manage complex calendars and scheduling to support teams in multiple locations globally
  • Organize, prioritize and appropriately handle time-sensitive, confidential information and ensure action required is addressed in a timely manner
  • Document meeting minutes of key internal meetings.
  • Track and help drive completion of key deliverables and follow up on open items (including meeting action items), including preparation and review of Senior Executive and Board-level documents.
  • Document writing, editing, and readiness
  • Work closely with the Internal Audit leadership team, Recruiting, Human Resources, Finance and other Executive Assistants to provide support to the department
  • Organize, execute, and assist with team activities (staff meeting agendas, all-hands meetings, off-sites, and team social events)
  • Expense reimbursement including report coordination, submission and issue tracking
  • Coordinate occasional global travel arrangements (cost effective air, hotel, and ground transportation and creating detailed travel itineraries), seamless meeting logistics, such as video conference and conference calls for internal and external meetings
  • Management of team space, including moves and reconfiguration, catering and supply orders
