About The Role

The Executive Assistant will be a key member of our team, providing high-level administrative and operational support to multiple executives across the Forest Road Company. This role blends classic EA responsibilities with light office management and administrative coordination. The ideal candidate is proactive, highly organized, calm under pressure, and capable of managing competing priorities across different work styles. They must communicate with exceptional clarity, uphold a white-glove level of service, and operate with judgment befitting the financial services industry.

Key Responsibilities:

Executive & Administrative Support

  • Manage and optimize complex, multi-executive calendars including prioritization, sequencing, and proactive conflict resolution.
  • Coordinate meetings, calls, and events across time zones and with external stakeholders in financial services, media, and partner organizations.
  • Prepare and circulate meeting materials, support agenda creation and ensure follow-ups are captured and executed.
  • Draft clear, concise, and professional correspondence on behalf of executives.
  • Support light travel coordination (domestic and international) as needed.
Project & Workflow Coordination
  • Assist with administrative components of internal projects, including gathering information, preparing summaries, formatting documents, tracking deliverables, and coordinating cross-team communication.
  • Maintain organized systems for files, databases, and shared documents.
  • Upload, maintain and track contacts in Salesforce for assigned executives.
  • Support compliance-related administrative tasks appropriate for a financial-services environment (e.g., handling confidential information with strict discretion).
Relationship Management
  • Serve as a polished, reliable point of contact for internal and external stakeholders including investors, board members, operating company leaders, and service providers.
  • Build strong working relationships across teams to ensure effective communication and seamless workflow.
Office Management & Operations (Century City)
  • Oversee incoming and outgoing mail, packages, and documents; ensure timely routing to the appropriate teams or individuals.
  • Support general office administration (e.g., supplies, vendor coordination, guest management, room scheduling).

Qualifications:
  • 5+ years of executive assistant experience, ideally supporting multiple executives or a fast-moving leadership team.
  • Experience in financial services, private equity, asset management, entertainment, or similarly high-stakes industries preferred.
  • Demonstrated ability to manage complex calendars and logistics in a dynamic setting.
  • Exceptional written and verbal communication skills.
  • Strong proficiency with Microsoft suite of products and productivity tools; comfortable learning new systems quickly.
