A stable, well-established Houston-area real estate company is seeking an Executive Assistant / Office Manager to support the President across a broad range of executive, administrative, office management, travel, and personal support functions. The ideal candidate is exceptionally organized, discreet, and proactive — someone who sees what needs doing and does it with polish and good judgment. This is a career-level position for a professional looking for a long-term home with a company that genuinely takes care of its people.

Salary + Additional Benefits:
  • $75,000–$90,000

Type of Position: Direct Hire

Responsibilities:
Executive & Administrative Support
  • Manage the President's calendar, communications, and correspondence; prepare meeting materials and follow-up action items.
  • Screen and handle all incoming calls, emails, and mail — including the company's main inbox — with professionalism and good judgment.
  • Maintain and organize the President's professional and personal files, both physical and digital.
  • Reconcile corporate card charges and submit purchase orders in Yardi.
  • Manage permanent files and coordinate annual archiving of records.
Office & Facilities Management
  • Oversee day-to-day operations of the executive suite — supplies, kitchen, mail, FedEx, and vendor relationships.
  • Serve as the primary contact for IT, phone systems, copier, and postage equipment.
  • Coordinate all suite repairs and maintenance; ensure the office is always well-stocked and running smoothly.
  • Arrange catering and meal orders for meetings and company functions; provide front-desk reception support as needed.
Travel Coordination
  • Plan and manage all corporate and personal travel — flights, hotels, ground transportation, and dining.
  • Coordinate conference logistics including ICSC attendance, booth setup, hosted dinners, and name badges.
  • Prepare detailed itineraries and handle changes or disruptions efficiently.
Personal & Family Support
  • Manage the President's personal files, insurance policies (auto, home, and additional properties), and vehicle registrations.
  • Handle personal errands, bank runs, and other personal tasks as needed.
  • Provide occasional administrative and logistical support to additional family members as requested.
Human Resources Support
  • Maintain personnel files and coordinate new employee onboarding — IT setup, office access, and welcome materials.
  • Process new lease documentation and route to appropriate team members.

Requirements:
  • Bachelor's degree preferred
  • 5+ years in an executive assistant, office manager, or senior administrative role; real estate experience a plus
  • Familiarity with Yardi or similar property management software is an advantage
  • Exceptionally organized, discreet, and proactive with a high level of personal accountability
  • Polished communicator with proficiency in Microsoft Office and standard office technology
  • Demonstrated ability to manage competing priorities with calm and efficiency
  • Looking for a long-term professional home
