Pay Rate: $32.00 - $48.08 per hour, depending on experience

Position Overview

Our client is seeking an experienced Executive Assistant to provide high-level administrative support to the Chief Financial Officer (CFO) and their team during a busy operational period. This is an excellent opportunity for a polished, resourceful professional who thrives in a fast-paced, collaborative environment and can confidently support senior leadership.

The ideal candidate is highly organized, proactive, and able to anticipate needs before they arise. Success in this role requires exceptional communication skills, sound judgment, emotional intelligence, and the ability to build strong working relationships across all levels of the organization. Prior Executive Assistant experience is required, and experience within the music, entertainment, or media industry is strongly preferred.

Key Responsibilities

Provide comprehensive administrative support to the CFO and leadership team.

Manage complex calendars, schedule meetings, and coordinate appointments across multiple time zones.

Arrange domestic and international travel, including flights, accommodations, ground transportation, and detailed itineraries.

Serve as a primary point of contact for executives, internal departments, and external business partners.

Screen and manage incoming calls, emails, and correspondence while ensuring timely follow-up.

Prepare, submit, and reconcile expense reports and assist in resolving payment-related issues.

Anticipate scheduling conflicts and proactively identify solutions to ensure seamless executive support.

Maintain organized electronic filing systems and confidential business records.

Assist in preparing reports, presentations, meeting materials, and other executive documents.

Coordinate meetings, conference calls, and special projects as assigned.

Handle sensitive and confidential information with professionalism and discretion.

Provide general administrative support to help ensure efficient day-to-day operations.

Required Qualifications

Minimum of 5 years of Executive Assistant experience supporting senior executives or C-suite leadership.

Demonstrated ability to manage multiple priorities in a fast-paced, deadline-driven environment.

Excellent organizational, time management, and multitasking skills.

Strong written and verbal communication abilities.

High level of professionalism, discretion, and confidentiality.

Exceptional interpersonal skills with the ability to quickly build rapport across all organizational levels.

Strong problem-solving skills with the ability to anticipate needs and work independently.

Advanced proficiency with Microsoft Office Suite, particularly Outlook, Word, Excel, and PowerPoint.

Ability to exercise sound judgment and maintain composure under pressure.

Preferred Qualifications

Experience supporting executives within the music, entertainment, or media industry.

Experience working with executive leadership teams in a corporate environment.

Familiarity with fast-paced creative organizations and dynamic business operations.
