Universal Music Group is seeking an experienced, proactive temporary Executive Assistant to support a Chief Financial Officer (CFO) and their senior leadership team during a high-volume operational period. This position requires an assistant with exceptional corporate instincts, high emotional intelligence, and the confidence to read the room, build swift relationships, and seamlessly navigate a collaborative, fast-paced entertainment culture. The ideal candidate will adapt smoothly to distinct executive personalities and solve complex scheduling or administrative problems autonomously before they impact operations.
Key Responsibilities
Calendar & Meeting Management : Oversee a complex, high-volume executive calendar. Proactively identify scheduling conflicts, prioritize critical requests, and coordinate internal and external meetings.
Travel Coordination : Arrange detailed domestic and international travel itineraries, lodging, and logistics for senior executives.
Gatekeeping & Liaison Duties : Serve as the primary point of contact for the CFO and team, managing, screening, and prioritizing incoming calls, messages, and executive correspondence.
Financial Administration : Process detailed corporate expense reports, monitor submissions, and resolve vendor or payment issues accurately.
Operational Readiness : Anticipate logistical bottlenecks and solve administrative problems before they disrupt day-to-day work flows.
Document Control : Create, format, and organize professional reports, executive presentations, and secure electronic records/files.
Must Have Skills / Requirements
Executive Assistant Experience : Minimum of 5 years of dedicated experience providing high-level administrative support directly to senior-level corporate executives (C-suite/VP level).
Corporate Instincts & EQ : High emotional intelligence with the ability to read organizational dynamics, adapt to diverse communication styles, and stay calm under pressure.
Software Proficiency : Deep proficiency with the Microsoft Office Suite, with advanced capability utilizing Microsoft Outlook for rapid schedule management.
Work Structure : Absolute commitment to working 100% on-site at the Santa Monica facility Monday through Friday.
Preferred Qualifications (Nice to Have)
Direct, prior Executive Assistant experience within the music, entertainment, film, television, or broader media industries.
Education & Experience Requirements
Experience : 5 years of required executive administrative support experience.
Term : 4-Week Contract Assignment (With high potential to extend based on performance and business needs) Assignment Duration : 07/13/2026 to 08/07/2026
