Summary

Trinity Life Sciences is seeking a highly organized, proactive, and polished Executive Assistant to support senior leaders from the Waltham, Massachusetts or New York City office. This role serves as a trusted business partner, helping leadership team members operate efficiently through strong calendar management, meeting coordination, travel support, administrative execution, and day-to-day problem solving. The ideal candidate brings sound judgment, discretion, attention to detail, and a service-oriented mindset, along with the ability to anticipate needs and keep priorities moving in a fast-paced environment.

Position Overview

The Executive Assistant provides high-quality administrative and operational support to Trinity leaders based on business need and role complexity. The role is designed for someone who can manage competing priorities, maintain professionalism in all interactions, and contribute as a strong partner within the broader Executive Support team.

Key Responsibilities

  • Provide executive support to leadership team members based on business need and complexity.

  • Serve as a trusted business partner, helping day-to-day operations run smoothly and predictably.

  • Own end-to-end calendar management, including scheduling, prioritization, conflict resolution, and proactive rescheduling.

  • Maintain accurate calendars with real-time updates and only approved double bookings.

  • Coordinate meetings across multiple stakeholders and ensure agendas, materials, and logistics are in place in advance.

  • Prepare, test, and confirm meeting technology, materials, and requirements before meetings begin.

  • Arrange business travel, including flights, hotels, ground transportation, and itineraries.

  • Support passport, visa, and related travel documentation requirements as needed.

  • Manage expenses and other administrative tasks as requested.

  • Provide support for internal meetings, events, and ad hoc projects.

  • Communicate clearly and professionally with leaders, executive assistants, and cross-functional stakeholders.

  • Contribute to broader Executive Support Team priorities and assist beyond assigned tasks when needed.

Qualifications

  • 4+ years of experience in an Executive Assistant, Administrative Assistant, or similar business support role.

  • Experience supporting senior leaders in a fast-paced, professional services, life sciences, healthcare, consulting, or corporate environment preferred.

  • Demonstrated strength in calendar management, meeting coordination, travel planning, and administrative execution.

  • Strong organizational skills with the ability to prioritize effectively and manage multiple requests at once.

  • Excellent written and verbal communication skills.

  • High level of discretion, professionalism, reliability, and judgment.

  • Strong attention to detail and follow-through.

  • Ability to work independently while also collaborating effectively within a team environment.

  • Proficiency with common workplace tools such as Microsoft Outlook, Word, PowerPoint, Excel, and Teams.

Trinity's salary bands account for a wide range of factors that are considered in making compensation decisions including but not limited to skill sets and market demand for skills; level of experience and training; specific qualifications, performance, time in role/company, geographic location, and other business and organizational needs. A reasonable estimate of the current salary range is a minimum of $80,000. In addition to your base salary, you will also be eligible for an annual discretionary performance bonus.
