Who We Are Fredrikson is the premier Midwest-based law firm working collaboratively to help businesses achieve their goals regionally, nationally, and globally.Overview We are seeking an experienced Executive Legal Assistant to support a Shareholder in our Corporate practice, with a primary focus on private equity and mergers and acquisitions transactions. This role is critical to supporting the day-to-day operations of a sophisticated transactional practice through proactive coordination, communication, organization, and management of complex administrative and practice support responsibilities.The ideal candidate will be highly organized, detail-oriented, proactive, and capable of managing multiple priorities in a fast-paced environment. This position will work closely with attorneys, clients, portfolio company representatives, and external advisors while supporting active transactions, corporate governance matters, client relationship management, and practice operations.Key Responsibilities Coordinate and track active mergers and acquisitions transactions across multiple client matters, maintaining detailed status updates regarding deal milestones, deliverables, and key deadlinesPrepare, process, and manage transaction-related documentation, including Management Incentive Unit (MIU) agreements and related equity materialsServe as a central point of contact for internal and external deal teams regarding scheduling, document flow, and administrative logistics throughout the transaction lifecycleOrganize, maintain, and manage corporate records, governance documents, and entity files across a portfolio of sponsor-backed companiesTrack and coordinate recurring corporate governance obligations, including board resolutions, annual filings, officer appointments, and organizational updatesMaintain and update corporate organizational charts and entity hierarchies in connection with acquisitions, restructurings, and divestituresReview, analyze, and process outside counsel invoices and vendor billing, identifying discrepancies and ensuring compliance with engagement terms and client billing guidelinesAssist in the preparation and tracking of engagement letters, fee arrangements, and matter budgets across active client relationshipsSupport day-to-day coordination for key private equity sponsor clients and related portfolio company mattersDevelop and maintain tracking systems for portfolio company matters, including post-closing obligations, integration items, compliance deadlines, and recurring requestsCoordinate with portfolio company management teams, clients, outside advisors, and internal stakeholders regarding ongoing administrative and documentary mattersBuild and refine standardized workflows, templates, checklists, and administrative processes related to transactions and corporate governance mattersMaintain organized and accessible deal and matter files, including precedent documents, key agreements, and reference materialsIdentify opportunities to streamline administrative processes and improve operational efficiency within the practiceManage complex scheduling, meeting coordination, and travel arrangementsDraft, proofread, and manage correspondence and other administrative materialsCoordinate internal and external meetings using Microsoft Teams, Zoom, and related conferencing platformsHandle highly confidential and sensitive information with professionalism and discretionSupport the hybrid nature of the role by being present in-office (Downtown Minneapolis) generally four days per week, with one remote workdayOur Ideal Candidates Will Have Associate or bachelor's degree with significant relevant administrative or legal support experience5+ years of experience in an executive assistant, legal assistant, transactional support, or similar professional support roleExperience supporting mergers and acquisitions, private equity, corporate transactions, or corporate governance matters strongly preferredExceptional organizational skills with the ability to manage multiple priorities and competing deadlines simultaneouslyStrong attention to detail and ability to manage complex documentation accuratelyDemonstrated ability to anticipate needs, exercise sound judgment, and operate proactivelyExcellent interpersonal, written, and verbal communication skillsAbility to handle sensitive and confidential information with discretionProficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint)Experience coordinating complex scheduling, meetings, and travel arrangementsAbility to work collaboratively with attorneys, clients, executives, and external business partners in a high-touch service environmentPreferred Qualifications Previous law firm, private equity, investment, or transactional support experience strongly preferredExperience supporting multiple active transactions or complex project-based workflowsExperience with billing review, matter management, or entity management systems preferredAptitude and enthusiasm for learning new technologies and systemsBenefits Our comprehensive benefits options include medical, dental, vision, basic and supplemental life insurance, short-and long-term disability, employee resource benefits (inclusive of counseling, coaching, and care-giving guidance), paid-parental leave, parenting classes, pre-tax parking and transportation options, and much more.
