    Description

    Role Summary

    We are seeking a highly organized and adaptable professional to support the Chief of Staff and the CEO in managing the flow of both business and personal commitments. This role operates at the intersection of executive operations and lifestyle coordination, ensuring priorities across work, travel, and home are aligned and executed with efficiency.

    Working closely with and reporting into the Chief of Staff, this individual will serve as a central point of coordination—helping translate shifting priorities into well-orchestrated plans, while maintaining a high level of discretion and responsiveness.

    The ideal candidate brings a strong sense of ownership, anticipates needs before they arise, and is comfortable navigating a dynamic environment where schedules and priorities evolve quickly. Flexibility outside of standard business hours is expected as needs arise.

    Core Responsibilities

    Executive Coordination & Planning

    • Oversee day-to-day scheduling flow, aligning meetings, commitments, and priorities across a dynamic calendar 
    • Coordinate domestic and international travel, including multi-stop itineraries and real-time adjustments 
    • Support communication flow by monitoring and prioritizing inbound requests, correspondence, and scheduling needs 
    • Partner with the Chief of Staff on ongoing initiatives, logistics planning, and execution support 
    • Manage allocation and use of corporate entertainment assets (e.g., event tickets, hosting coordination) 

    Lifestyle & Household Coordination

    • Facilitate personal scheduling and logistics for the CEO and immediate family 
    • Coordinate travel planning and logistics for personal and family engagements 
    • Oversee household operations by managing vendors, service providers, and scheduling needs 
    • Serve as a point of coordination for in-home services (e.g., culinary, cleaning, maintenance) 
    • Execute time-sensitive personal requests and ensure day-to-day continuity across environments 

    Operations & Administrative Support

    • Maintain organized systems for records, expenses, and key documentation 
    • Track and reconcile expenses, ensuring accuracy and timeliness 
    • Coordinate office logistics, including deliveries, supplies, and shared spaces 
    • Prepare meeting environments and provide light hosting support when needed 
    • Assist in the planning and coordination of internal and external events 

    Experience & Qualifications

    • 3+ years of experience in a coordination, operations, or support-focused role (executive, administrative, or similar) 
    • Demonstrated ability to manage competing priorities with a high level of organization and follow-through 
    • Strong communication skills and the ability to interact professionally across a variety of settings 
    • Proven ability to operate with discretion and sound judgment 
    • Comfortable operating in both office and personal settings
    • Valid driver’s license and willingness to travel locally as needed
