Executive/Administrative Assistant
Location: New York, NY (In-Office) Schedule: Monday Friday, 8:00 AM 5:00 PM Type: Full-Time / Contract-to-Hire
Position Overview
We are seeking a sharp, highly organized, and proactive Executive/Administrative Assistant to join our team in New York City. This role is the central hub of our daily operations, providing critical support to our leadership team while ensuring the office runs seamlessly. The ideal candidate thrives in a fast-paced urban environment, possesses impeccable communication skills, and can pivot between high-level executive support and general office administration with ease.
Key Responsibilities
Executive Support: Manage complex calendars, coordinate high-priority meetings, and handle sensitive correspondence for agency leadership.
Office Operations: Oversee daily administrative tasks including filing, mail distribution, and maintaining office supplies.
Travel & Logistics: Arrange detailed travel itineraries and process expense reports with high accuracy.
Communication Hub: Act as the primary point of contact for internal and external stakeholders, screening calls and greeting guests with professionalism.
Project Coordination: Assist in the preparation of reports, slide decks, and meeting materials; track deadlines for ongoing agency projects.
Data Management: Maintain and update digital and physical records, ensuring all documentation is organized and easily accessible.
Qualifications
Experience: 3+ years of experience as an Executive Assistant, Administrative Assistant, or Office Manager, preferably within an NYC-based agency or corporate setting.
Technical Skills: Expert proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
Communication: Exceptional written and verbal communication skills; ability to interact confidently with C-suite executives and clients.
Organization: Superior time-management skills and the ability to multitask under tight deadlines without losing attention to detail.
Proactive Mindset: A "no task is too small" attitude with the ability to anticipate the needs of the team before they arise.
Reliability: Strict adherence to the 8:00 AM 5:00 PM schedule to ensure consistent morning coverage.
