Position SummaryThe Employment & Class Action Legal Assistant provides comprehensive administrative and litigation support to attorneys handling individual employment litigation and complex class action matters. This role is responsible for maintaining case files, coordinating litigation activities, managing calendars, preparing legal documents, communicating with clients, and ensuring cases progress efficiently from intake through resolution.The ideal candidate has experience supporting California employment litigation and class action cases and is capable of managing multiple priorities while maintaining a high level of professionalism and accuracy.Essential Duties & ResponsibilitiesAttorney SupportProvide daily administrative and litigation support to assigned attorneys.Prepare, proofread, revise, and format legal documents and correspondence.Draft routine pleadings, notices, declarations, subpoenas, and legal forms.Prepare engagement letters and settlement documents.Organize attorney files and maintain case status updates.Coordinate attorney calendars and litigation schedules.Case ManagementOpen and maintain electronic and physical case files.Monitor litigation deadlines and court dates.Track statutes of limitation and filing deadlines.Update case management software with case activity.Ensure files are organized and audit‑ready.Coordinate file transfers and record retrieval.Court FilingsPrepare documents for electronic filing in California state and federal courts.Coordinate filing through One Legal, File & ServeXpress, PACER, and other electronic filing systems.Prepare proofs of service.Coordinate service of process.Maintain filing confirmations and court correspondence.Discovery SupportAssist attorneys and paralegals with written discovery.Prepare discovery shells and templates.Organize incoming and outgoing discovery.Coordinate document production.Maintain discovery indexes and document logs.Prepare exhibits for depositions and hearings.Client CommunicationServe as a primary point of contact for clients.Schedule client meetings, depositions, mediations, and court appearances.Request and organize employment records and supporting documentation.Maintain professional and timely communication with clients throughout the litigation process.Class Action & PAGA SupportAssist with class action litigation and PAGA matters.Maintain confidential employee and class member information.Organize payroll and personnel records.Coordinate communications with class administrators.Assist with mediation and settlement preparation.Support large‑scale document management projects.Calendar & SchedulingMaintain attorney calendars.Schedule hearings, depositions, mediations, arbitrations, and meetings.Coordinate travel arrangements when necessary.Ensure all deadlines are accurately calendared and communicated.Administrative ResponsibilitiesAnswer and route telephone calls professionally.Manage incoming and outgoing mail.Prepare expense reports.Order office and litigation supplies.Coordinate with vendors, court reporters, interpreters, and process servers.Maintain confidentiality of sensitive client information.QualificationsRequiredMinimum of 3 years of California employment litigation experience.Experience supporting employment law attorneys.Experience with California civil litigation procedures.Knowledge of California court filing requirements.Excellent organizational and multitasking skills.Strong proofreading and document formatting abilities.Exceptional written and verbal communication skills.Ability to work independently and collaboratively in a fast‑paced environment.High level of professionalism and discretion.PreferredExperience supporting employment class actions and PAGA litigation.Experience with trial preparation.Bilingual (Spanish) preferred.Associate's or Bachelor's degree.Legal Assistant Certificate or equivalent experience.Technical SkillsCandidates should be proficient with:Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)Adobe Acrobat ProOne LegalFile & ServeXpressPACERElectronic case management systemsDocument Management Systems (DMS)Microsoft TeamsZoomDocuSignPractice AreasWrongful TerminationEmployment DiscriminationHarassmentRetaliationWage & Hour LitigationPAGA Representative ActionsEmployment Class ActionsFEHA ClaimsWhistleblower ClaimsMeal and Rest Break ViolationsOvertime ClaimsFailure to AccommodateInteractive Process ClaimsFMLA/CFRACore CompetenciesOutstanding organizational skillsStrong attention to detailExcellent written communicationEffective verbal communicationAbility to prioritize competing deadlinesProfessional judgment and discretionExceptional client serviceInitiative and accountabilityTeamwork and collaborationStrong time management#J-18808-Ljbffr
