The Washington, DC office of a global law firm is interviewing experienced legal personnel to support a busy group of attorneys. This crucial hire will provide administrative support in client-facing activities that enhance the team's efficiency and effectiveness. In this role, you will manage calendars, travel logistics, attorney billing and time entry, and assist with preparing and finalizing legal documentation. We seek a professional who proactively anticipates needs and provides top-tier support.Key ResponsibilitiesAs a part of a team of three Legal Assistants, provide high-level administrative support to a group of seven to eight attorneys at various levels across multiple practice areas.Utilizing the applications of Microsoft Suite, prepare and edit complex legal documents.Review, prepare, and track attorney time entries to ensure accuracy and timeliness, coordinate client billing processes in partnership with the Billing Department and assist in monitoring account status and activity.Process expense reports and reimbursement requests using Cosine Expense Reporting.Organize and manage meeting logistics, including scheduling conference rooms, arranging video conferences, and coordinating catering services.Coordinate both domestic and international travel for attorneys, ensuring calendars are updated with relevant meetings, firm committees, and external meetings.Oversee conflict checks and facilitate the intake and setup of new client matters.Build and maintain strong working relationships internally and externally among vendors and clients.Manage incoming phone calls, route inquiries appropriately, and greet visitors upon arrival at the office.Why You'll Love Working HereBe a part of a firm that is centered on collaboration and strong work ethic.Strong benefits include paid time off, 401(k), medical, dental, and vision insurance, and more!This role provides remote flexibility one (1) day a week.What We're Looking ForAdministrative experience. You have at least three (3) or more years of previous legal administrative experience, ideally with strong billing skills.Software savvy. Experience with billing and time entry is required. Having strong proficiency with Microsoft Suite and legal software platforms such as Cosine, Interaction, Intapp Intake, and document management programs will be key to success.Diligent and dependable.
