Overview:
The Facilities Clerk provides administrative, purchasing, inventory, receiving, warehouse, and operational support to the Facilities/Maintenance Department. Responsible for work orders, ordering and receiving materials, monthly Excel expense tracking, inventory control, vendor coordination, records, and daily warehouse support. Position requires both office and hands -on work, including material handling and forklift operation, in environments that may be hot, cold, dusty, or noisy.
Responsibilities:
- Process material and supply requests; prepare and track purchase orders; obtain pricing and availability from vendors; and reconcile related invoices, receipts, and expenditures.
- Coordinate with vendors and contractors regarding orders, deliveries, service calls, invoices, and required documentation.
- Receive, inspect, unload, stage, distribute, and organize materials, parts, supplies, and equipment for Facilities operations.
- Maintain accurate inventory records; monitor stock levels; reorder materials as needed; and assist with inventory counts and reconciliations.
- Organize and maintain warehouse storage areas, records, supplies, and equipment while ensuring a clean, safe, and efficient work environment. [
- Operate forklifts and other material-handling equipment when trained and authorized.
- Perform physical work, including lifting, carrying, loading, unloading, pushing, pulling, bending, stooping, reaching, and transporting materials throughout the property.
- Receive, enter, update, track, and close maintenance work orders; maintain records related to repairs, preventive maintenance, inspections, equipment, and inventory.
- Maintain departmental expense-tracking spreadsheets and prepare reports for management review.
- Maintain electronic and hard-copy files, including permits, warranties, contracts, inspections, and regulatory documentation.
- Answer department phones and coordinate service requests among Facilities staff, casino departments, management, contractors, and vendors.
- Assist with preventive maintenance scheduling, contractor coordination, audits, inspections, compliance activities, and special projects.
- Follow all company policies, safety procedures, PPE requirements, and applicable regulatory standards while maintaining professional working relationships with employees, vendors, contractors, and management.
- Maintain dependable attendance, punctuality, and productivity in a fast-paced casino and hotel environment.
- Perform other duties as assigned by the Facilities Manager.
Qualifications:
To perform this job successfully, an individual must be able to perform the duties and responsibilities satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
- High school diploma or GED required; training provided as applicable.
- Valid driver's license required.
- Proficiency in Microsoft Office, especially Excel, Word, Outlook, PowerPoint, and Teams.
- Strong organizational, data-entry, recordkeeping, communication, and time-management skills.
- Ability to accurately track purchasing, inventory, work orders, and expenses.
- Previous purchasing, receiving, warehouse, inventory, facilities, maintenance, or material-handling experience preferred.
- Forklift experience/certification preferred; training may be provided as required.
- Casino, hotel, hospitality, warehouse, or large commercial facility experience preferred.
Posted Salary Range:
USD $15.00 - USD $15.00 /Hr.
