SUMMARY:

Reports to the Faculty Practice Manager, is responsible for accounting, budget and business management functions.  Supports the clinical operation by overseeing core business functions related to accounts receivable, payable, purchases and the like. 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

                 Front Desk Supervisor

Customer Service:

      • Implements culture projecting an interest in serving others - friendly, courteous, helpful, and responsive front office staff
      • Ensures professional attire worn by front office staff
      • Ensure compliance with OSHA Guidelines including PPE

                 Monitors Performance Parameters of Practice and Staff:

      • Ensure front office and reception space in clean, neat, and orderly condition
      • Ensure front office and reception equipment and furniture maintained, clean, and up to date
      • Ensures optimization of all patient schedules
      • Make sure provider schedules are booked
      • Maximize support for new patient onboarding for entire practice
      • Simplify registration
      • Complete accurate information
      • Manage timely lab pick-up and delivery for entire practice
      • Maximize insurance processing support for entire practice
      • Ensures pre-authorizations submitted same day as treatment plan approved
      • Ensures communications with patients upon receipt of pre-authorizations from insurance company
      • Review payment options and establish payment plans
      • Ensures procedures submitted to insurance on day of service
      • Includes dental insurance processing
      • Ensures optimal collections process for entire practice
      • Ensures optimal insurance processing
      • Ensures compliance of collection of patients portion on day of service
      • Timely and appropriate adjustments

EDUCATION and/or EXPERIENCE:

Bachelor’s degree in a related field and two years of experience in a fee for service operation.  At least one year experience supervising and training employees.  Additional experience may be substituted for some or all of the education requirement. Excellent oral and written communications skills.  A working knowledge of Excel and Word software.  Knowledge of enterprise-wide computer applications.


Required Knowledge / Skills / Abilities:

Ability to independently perform specialized tasks following stated procedures.  Skill in applying basic analytical skills to problems where clear precedent may not exist.  Thorough knowledge of and skill in applying office practices and procedures, principles of office management and supervision.  Skill in planning and coordinating clerical work; in motivating and providing guidance and instruction to clerical personnel.  Ability to interpret and apply departmental policies and procedures to everyday situations.  Ability

to establish and evaluate clerical methods and procedures; to negotiate resolution to scheduling and procedural problems; to communicate effectively both orally and in writing; to establish and maintain effective work relationships.
